What you’ll do
- Greet visitors and manage front desk operations with a warm and welcoming demeanor
- Answer and direct incoming calls, demonstrating excellent phone etiquette
- Maintain organized filing systems and assist with data entry to ensure accurate record-keeping
- Manage calendars, schedule appointments, and coordinate meetings for team members
- Provide administrative support including proofreading documents, preparing reports, and managing correspondence
- Utilize QuickBooks for bookkeeping tasks and assist with financial record management
- Offer customer support by addressing inquiries and resolving issues promptly
- Collaborate with team members to enhance office management processes and improve efficiency
- Be available to company owner via phone call and text during the work week and weekend
Basic qualifications
- Proven experience as a construction office manager or similar position
- Strong computer literacy with proficiency in QuickBooks and Excel
Preferred qualifications
- Previous experience managing an HVAC or construction company is a plus
- Familiarity with office management practices and clerical duties
