Event Director

Essential Functions Expectations:

· Work 1-3 shifts per week in the operation at the discretion of PinSocial Management

· Attend all necessary management meetings weekly

· Produce all daily, weekly, and monthly reports as requested

· Ability to work various hours with weekends and holidays required based on business levels.

· Maintain a clean and ready event space daily

· Master a strong understanding of daily operations to assist in decision making

Event Planning:

· Collaborate with clients to understand their event requirements, including the number of attendees, event goals, and specific needs.

· Assist clients in selecting the appropriate packages and services offered by our facility

· Develop event proposals, including cost estimates, timelines, and layouts.

· All other duties and responsibilities as assigned.

Event Coordination:

· Oversee all aspects of event logistics, including booking golf activities, coordinating catering, arranging for equipment, and scheduling staff.

· Ensure seamless event execution and address any last-minute changes or issues.

· Act as the primary point of contact for clients before, during, and after events.

Customer Service:

· Provide exceptional customer service to clients, addressing their questions, concerns, and special requests.

· Maintain open and effective communication with clients to ensure their satisfaction.

· Handle client feedback and resolve issues promptly.

· Assist in keeping our reservation site (Sevenrooms) up to date and answer questions dealing with suite/bay reservations when needed

Promotions and Marketing:

· Assist Managing Partner in promoting events through various marketing channels, including social media, email, and the facility's website.

· Create promotional materials and ensure that event details are accurately communicated.

Vendor Management:

· Collaborate with Kitchen and Hospitality Managers to coordinate event needs from vendors and suppliers to secure necessary services and equipment at weekly meetings

Community Outreach:

· Create, Promote, and facilitate outreach campaigns for golf outings and networking events

· Create, Promote, and facilitate fundraisers

· Facilitate current community partnerships

· Grow the corporate network of PinSocial through the addition of partnerships and sponsorships and by attending networking events

· Promote the PinSocial brand by being part of community fundraisers, benefits, etc.

Culture:

· Create and facilitate a positive work culture that is focused on teamwork and productivity through team building activities

· Ensures the health and safety of employees by monitoring employee accidents or potential safety hazards and reports this directly to management

· Communicates closely with staff with policy changes and administrative changes

· Motivate staff through creating employee wellness initiatives

· Respond to employee suggestions/issues by working with management to create structured systems to address concerns

· Assist with strategic plan

· Remain professional and confidential with employee information

Qualifications:

· Proven experience in event management preferably in the hospitality industry

· Strong leadership and team management skills.

· Excellent organizational and problem-solving abilities.

· Effective communication and interpersonal skills.

· Proficiency in using event planning and catering software and tools.

· Enthusiastic and outgoing personality

· Proactive, self- starter mentality and customer focused

· Outside sales experience is a plus

· Degree in hospitality management, event planning, or related field is a plus

Physical Demands:

· While performing the duties of this job, the employee is regularly required to see, talk, and hear.

· Long hours standing, walking, and going up and down stairs

· Using office equipment and computers

· Lift up to 50 lbs

· Assist guests in carrying event items

· Using basic cleaning products and equipment throughout the building

· $50,000 annual salary plus commission
