What are the responsibilities and job description for the Experienced Commercial Real Estate and Transactional Paralegal position at Pino Law Group PLLC?
About the Firm
Pino Law Group PLLC is a rapidly-expanding commercial real estate, investment, corporate, and securities boutique law firm in downtown Winter Park, one block from Park Avenue with a strong culture and pleasant working environment. We advise business owners, syndicators, developers, and other investment participants from around the country on transactions that require both careful legal analysis and a profound understanding of underlying business economics and models.
The Position
We are seeking an experienced paralegal with a kind and outgoing personality who can take ownership of the coordination and administration of commercial real estate and related business transactions, from intake through closing and post-closing, under attorney supervision.
This position requires substantive, hands-on transactional experience. You should already know how to maintain a closing checklist, track contract deadlines, coordinate due diligence and prepare transaction documents for attorney review. We are looking for someone who anticipates the next step, follows through without reminders and recognizes when an issue requires an attorney’s attention and guidance.
Responsibilities
- Coordinate commercial real estate and business closings, manage transaction checklists and critical dates and follow up with transaction participants to obtain outstanding items.
- Collect and organize title commitments, surveys, lien and UCC searches, environmental reports, and zoning materials; track and communicate title objections and other diligence items for attorney review.
- Prepare and revise routine transaction documents, organizational documents, consents, and resolutions under attorney supervision. Proofread and compare document versions for accuracy and consistency.
- Coordinate signature packages and execution, check closing deliverables and assemble complete closing binders and post-closing records.
- Handle entity formations, qualifications, annual reports, amendments, dissolutions, fictitious-name registrations, and UCC filings. Maintain corporate records and ownership information.
- Communicate professionally with clients, lenders, title companies, brokers, opposing counsel, and other participants. Keep attorneys informed of deadlines, missing information and potential delays.
- Maintain organized digital matter files and use legal technology and firm-approved AI tools thoughtfully, with careful review of work product and protection of client information.
Required Experience and Qualifications
- At least five years of substantive paralegal experience in commercial real estate and related corporate or business transactions, including direct responsibility for coordinating closings, preferably in a law firm work environment.
- Demonstrated ability to manage multiple active matters, maintain accurate checklists and deadlines, and move transactions forward with limited day-to-day direction from supervising attorneys.
- Practical familiarity with title commitments, surveys, due diligence materials, entity formation and maintenance, and transaction execution requirements.
- Strong document preparation skills, including proofreading, redlining, formatting, and maintaining version control. Work submitted for attorney review should be complete, organized and carefully checked.
- Clear written and verbal communication skills, sound judgment and a professional approach to client service. We value a kind disposition and colleagues who work well with others.
- Proficiency with Microsoft Word and digital document management, together with a willingness to learn modern legal software and firm-approved AI workflows.
Preferred Experience
Experience with Florida and other state public records, commercial title and closing processes, lender requirements, and post-closing follow-up is preferred. Securities or investment transaction support and paralegal certification are also welcome.
Compensation and Schedule
- Compensation: $70,000 to $85,000 annually, commensurate with relevant experience and demonstrated transactional and technology skills.
- Schedule: In-office, Full-time, 40 hours per week, Monday through Friday.
- Location: Downtown Winter Park, Florida 32789.
Benefits
401(k) retirement plan; generous profit-sharing plan; health, dental, vision, and life insurance; Health Savings Account; Flexible Spending Account; and paid time off.
