Operations Manager – Healthcare Operations

Pinnacle Wound Management is seeking a highly motivated and results-driven Operations Manager to oversee and improve the daily execution of our clinical and operational functions.

This position is heavily focused on provider productivity, facility coverage, revenue optimization, and scalable growth. The Operations Manager will serve as the central point of accountability for ensuring providers are fully utilized, contracted facilities receive consistent service, and operational issues are resolved quickly.

This is a hands-on leadership role for someone who thrives in a fast-paced healthcare environment and measures success through visits, revenue, provider performance, facility satisfaction, and expansion—not simply task completion.

Key Responsibilities

Provider Productivity and Scheduling

  • Manage provider schedules across multiple facilities and geographic territories.

  • Maximize daily patient visit volume and provider productivity.

  • Identify and eliminate scheduling gaps, unnecessary downtime, and underutilized provider capacity.

  • Optimize provider routes, facility groupings, and coverage models.

  • Monitor and enforce productivity expectations, including visits per day and revenue per provider.

  • Coordinate schedule changes, provider absences, and emergency coverage.

  • Maintain clear visibility into provider availability and capacity.

Key Performance Metrics:

  • Visits per provider per day

  • Revenue per provider

  • Provider schedule utilization

  • Uncovered or missed facility visits

Facility Operations and Coverage

  • Ensure every contracted facility receives consistent and reliable wound care coverage.

  • Prevent service interruptions and resolve coverage concerns immediately.

  • Serve as a primary operational contact for facility administrators, Directors of Nursing, and clinical leadership.

  • Address facility concerns professionally and ensure timely follow-through.

  • Coordinate provider assignments, schedule changes, and service transitions.

  • Support the onboarding and operational launch of new facilities.

  • Maintain strong relationships with facility leadership and nursing teams.

Revenue Cycle Coordination

  • Work closely with providers, billing, coding, and administrative teams to support accurate and timely reimbursement.

  • Ensure providers complete documentation accurately and within required timeframes.

  • Monitor charge capture and submission to prevent missed or delayed billing.

  • Identify operational issues that contribute to denials, delayed claims, or lost revenue.

  • Coordinate corrective action when documentation or workflow problems affect collections.

  • Track unresolved documentation and billing issues through completion.

  • Help reduce revenue leakage caused by incomplete documentation, missed visits, or operational breakdowns.

Key Performance Metrics:

  • Revenue per visit

  • Documentation completion time

  • Charge submission turnaround time

  • Denial rates related to operational issues

  • Unbilled or delayed encounters

Growth and Expansion

  • Operationalize new facility contracts quickly and efficiently.

  • Coordinate staffing, provider assignments, scheduling, onboarding, and workflow implementation for new locations.

  • Support leadership with expansion into new facilities and geographic markets.

  • Identify provider capacity and operational resources required for growth.

  • Develop scalable systems that support expansion without sacrificing service quality.

  • Ensure new facilities transition smoothly from contract execution to active patient care.

Process Control and Accountability

  • Build and maintain simple, repeatable operational systems.

  • Establish clear expectations for providers and administrative staff.

  • Hold team members accountable for productivity, responsiveness, documentation, and follow-through.

  • Identify inefficient processes and implement practical solutions.

  • Monitor operational performance and intervene before issues affect facilities or revenue.

  • Create a culture of urgency, ownership, responsiveness, and measurable results.

  • Provide leadership with regular reporting on operational performance, risks, and opportunities.

Team Leadership

  • Oversee schedulers, coordinators, and other administrative team members.

  • Assign responsibilities and ensure work is completed accurately and on time.

  • Develop a high-performing team that operates with speed and accountability.

  • Remove administrative bottlenecks that interfere with provider productivity or revenue.

  • Coach team members and address performance concerns when necessary.

  • Promote effective communication across providers, facilities, billing, credentialing, and leadership.

Position Details

Requirements

  • Three to seven or more years of operations experience, preferably in healthcare.

  • Experience managing multi-site or multi-provider operations.

  • Experience in wound care, mobile healthcare, skilled nursing facilities, long-term care, assisted living, physician practices, or post-acute care is strongly preferred.

  • Strong understanding of provider scheduling and productivity management.

  • Familiarity with healthcare revenue cycle processes, including documentation, charge capture, billing, and denials.

  • Demonstrated ability to manage multiple priorities, facilities, providers, and deadlines.

  • Experience supervising administrative or operational team members.

  • Strong analytical, organizational, and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Ability to make decisions quickly and manage issues with limited supervision.

  • Proficiency with scheduling systems, electronic medical records, spreadsheets, and operational reporting tools.
