Pinnacle Signature Lighting is seeking an experienced, dependable, and organized Office Manager / Administrative Coordinator to help manage daily office operations and support our leadership team.
We are a specialty architectural and landscape lighting company working on high-end residential, estate, landscape, and commercial lighting projects throughout multiple states. We are looking for someone who can help keep the office organized, communicate professionally, follow up on details, and support the owner, business development team, accounting support, and field crews.
This is an important position in a small-business environment. The right candidate must be dependable, detail-oriented, trustworthy, and able to work independently.
Responsibilities
Responsibilities include, but are not limited to:
- Answering phones, emails, and general office communication.
- Coordinating communication between the owner, office staff, vendors, customers, strategic partners, and field crews.
- Helping schedule meetings, service calls, project follow-ups, and internal tasks.
- Organizing office paperwork, files, documents, and project information.
- Tracking open items and making sure important follow-up does not get missed.
- Assisting with customer and vendor communication.
- Helping organize invoices, bills, receipts, statements, and vendor paperwork.
- Assisting with light bookkeeping, billing support, payroll information, and administrative accounting support.
- Supporting project paperwork, proposals, purchase orders, and job-related documentation.
- Helping document office procedures, checklists, and company processes.
- Maintaining confidentiality with company, customer, employee, and financial information.
- Supporting leadership with administrative and organizational tasks as needed.
- Retrieve mail from the post office as scheduled.
- Sort and distribute incoming mail.
- Collect, prepare, and deposit checks at the bank.
- Maintain accurate records of deposits and related documentation.
- Perform other administrative and office support duties as assigned.
Qualifications:
- Prior office manager, administrative assistant, executive assistant, bookkeeping, or operations support experience.
- Strong organizational skills and attention to detail.
- Good written and verbal communication skills.
- Ability to work independently and follow through on tasks.
- Experience with Microsoft Office, Google Workspace, email, spreadsheets, and shared files.
- Basic accounting, invoicing, payroll support, or bookkeeping experience is helpful.
- Experience in construction, service, design, landscaping, contracting, or project-based businesses is preferred.
- Ability to handle confidential information professionally.
- Dependable attendance and a strong work ethic.
