About the Role
Pinnacle Remodel is looking for an exceptionally organized, confident, and proactive Administrative Coordinator to help keep our team and day-to-day operations running smoothly.
We are a small residential design-build remodeling company, which means this isn't a traditional front-desk position where every day looks the same. Our Administrative Coordinator is a central point of connection between our clients, leadership team, project staff, vendors, trade partners, and administrative systems.
We're looking for someone who genuinely enjoys keeping things organized, solving problems, following up, and making sure nothing falls through the cracks. You don't have to know all of our systems on day one, but you do need to be someone who learns quickly, asks good questions, takes initiative, and naturally follows a task all the way through to completion.
In many ways, this person is the administrative glue that helps keep the company connected and moving forward.
What You'll Do
Your responsibilities will span several areas of the business, including:
- Office & communication management: Monitor incoming email and mail, answer phones with a warm and welcoming presence, receive visitors and deliveries, maintain office supplies and materials, and make sure incoming requests get to the right person and are followed through to completion.
- Lead & sales administration: Respond promptly and professionally to new leads, maintain lead information and tracking, assist with scheduling, manage and organize the owner's calendar, and help make sure follow-up steps happen after consultations.
- Project administration: Set up new projects in Buildertrend, maintain project information and administrative tasks, assist with permits and contractor licensing, track project metrics, and help ensure projects move cleanly through each administrative stage from lead through closeout.
- Accounts payable & basic bookkeeping: Process routine invoices and receipts, enter transactions into QuickBooks, follow up on missing documentation, process vendor payments, and maintain accurate records according to established procedures.
- Employee & trade partner administration: Maintain required documentation, own our new-hire and employee-exit processes, and help keep company records current and organized.
- General administrative ownership: Keep a reliable task and follow-up system, notice when something hasn't been completed, ask questions when information is missing, troubleshoot issues, and follow open items through until they are fully resolved.

- Is adaptable and comfortable working in a small-business environment where unexpected needs occasionally arise.
Bookkeeping & Technology
This position includes routine accounts payable and bookkeeping responsibilities, but our more specialized financial administration is handled separately.
We are looking for someone who is comfortable with basic bookkeeping concepts, detail-oriented with financial information, and capable of learning and consistently following established processes. Previous QuickBooks experience is preferred.
Experience with Buildertrend or construction accounting is helpful but not required. We'll teach the right person our specific systems and processes.
Our team regularly works with programs including:
QuickBooks Desktop, Buildertrend, Google Workspace, Asana, Microsoft Office, and Evernote
Experience & Qualifications
- Previous administrative, office management, executive assistant, bookkeeping, or similar experience preferred
- QuickBooks experience preferred
- Strong computer and technology skills
- Excellent written and verbal communication
- Strong organizational and time-management skills
- High attention to detail
- Ability to work independently, prioritize responsibilities, and follow through without constant supervision
Experience in construction, remodeling, design-build, or another project-based business is a plus, but not required.
