Medical Office Supervisor Responsibilities:
- Overseeing clinic operations and staff duties. Supervises workload assignments by appropriate prioritization of workload, is able to problem solve and work with minimal oversight, uses critical thinking when problem solving, uses work resources appropriately, and completes work within established time frames.
- Ordering stock and supplies for the clinic in a timely and efficient manner, ensuring cost effectiveness. Oversight of supplements to ensure provider is aware of those that are expiring or are not used enough to re-order to minimize waste.
- Overseeing the purchasing, maintenance, and repair of clinic equipment, with minimal disruption to the flow of the clinic.
- Developing and implementing procedures to deliver optimal patient care. Ensures policies are followed.
- Performing the hiring, training, and performance evaluation of staff members, utilizing critical thinking and leadership skills, ensuring employees are performing to their standards. Addressing issues with employees as they occur in a kind and supportive manner, ensuring employees are aware of expectations and have the tools necessary to do their jobs.
- Demonstrates courtesy and ability to respond effectively to customers, staff, patients, public, volunteers, and physicians. Immediately acknowledges a customer’s presence and is able to understand their needs. Displays a full knowledge and leads the successful implementation of service standards.
- Responsible for internal and external communications, and answering queries about the clinic.
- Register daily patients
- Schedule patient appointments
- Perform medical records functions
- Process referrals
- Fill supplement orders for patients
- Insurance pre-authorizations
- Take patient payments
- Reviews superbills daily to ensure accuracy before submitting to billing
- Reviews emails and 8x8 correspondence daily, and responds same day
- Accounts Receivable management
KNOWLEDGE/SKILLS/ABILITIES REQUIRED:
Knowledge of medical terminology or willingness to learn.

Knowledge of medical billing insurance.
Knowledge in email, google drive, and other office software.
Detail oriented in all areas of the job.
Ability to instruct and supervise employees. Monitor employees and patients and ways to make improvements.
Analyze financial and billing information.
Maintain and monitor inventory and records.
Interest in learning about natural and functional medicine.
Clinic Supervisor Requirements:
- Post High School training and/or education preferred, high school diploma or GED, required.
- Experience in a supervisor role in a healthcare facility or clinic. (preferred)
- Experience: 1 year of Hospital or Clinic experience required
- Ability to supervise and motivate clinic staff to perform their duties efficiently.
- Exceptional organizational skills to ensure that quality services are provided.
- Knowledge of procuring supplies, equipment, and staffing needs.
- Knowledge of billing, and negotiating with suppliers and vendors.
- Competency with computer-based healthcare administration systems, Practice Suite, Elation, 8x8.
- Exceptional interpersonal skills for liaising with patients, healthcare providers, and specialists, as well as the public.
- Excellent written and verbal communication skills.
- Ability to read, write, and speak English fluently.
- Ability to work with culturally diverse population.
- One year experience as a Medical Receptionist strongly preferred and billing, cashier, and data entry experience preferred.
