Position: Database & Prospect Research Manager

(Full Time, In-Person Dayton, Ohio)

Position Focus:

The Database & Prospect Research Manager oversees the organization’s data strategy, ensuring the CRM and integrated tech stack are optimized for peak performance and financial integrity. You will lead a specialized team to translate complex donor data into actionable business intelligence while managing critical vendor relationships and cross-departmental financial reconciliations. This role is pivotal in driving fundraising success through rigorous data governance, advanced analytics, and streamlined gift processing operations.

Responsibilities included, but are not limited to:

Systems & Vendor Management

• Optimize CRM Performance: Oversee the administration and maintenance of CRM systems, ensuring peak performance and data integrity.
• Manage Tech Stack Integrations: Lead the integration of third-party tools, including email marketing (Feather), Omatic, event platforms (OneCause), and wealth screening (NXT).
• Direct Vendor Lifecycles: Manage vendor relationships, from competitive bidding and contract negotiation to ensuring scalable pricing and high service standards.
• Develop Infrastructure Standards: Establish and enforce database policies, procedures, and best practices to ensure long-term system health.
• Oversee additional CRM’s as needed. 

Data Strategy & Business Intelligence

• Deliver Actionable Insights: Translate complex donor data into fundraising strategies by conducting attrition audits and managing LYBUNT/SYBUNT pipelines.
• Build Advanced Analytics: Design complex dashboards using RE:NXT Insight Designer and PowerBI to track KPIs, campaign progress, and gift officer performance.
• Define Core Metrics: Partner with leadership to establish and analyze KPIs for data health and team productivity, demonstrating the department's impact on mission success.
• Lead Portfolio Strategy: Provide data-driven recommendations to the development team to prioritize high-value constituents within their portfolios.

Financial Operations & Compliance

• Streamline Gift Processing: Oversee the timely recording of monetary gifts, pledges, and in-kind contributions while automating tax-acknowledgment workflows.
• Ensure Financial Alignment: Partner with the Finance Department to reconcile gift data between RE:NXT and Sage Accounting Software.
• Uphold Data Privacy: Maintain strict confidentiality and compliance with donor privacy best practices and internal data policies.
• Manage Fulfillment: Oversee the generation of donor receipts, acknowledgement letters, and targeted queries for stewardship and mailings.

Leadership & Project Management

• Supervise & Mentor Staff: Lead a team of two (Data Administrator and Data Specialist), fostering a culture of professional growth, efficiency, and proactive problem-solving.
• Drive Technical Literacy: Train non-technical staff on database usage, reporting tools, and standardized data entry protocols.
• Execute Project Roadmaps: Develop comprehensive project timelines, technical documentation, and implementation plans for all system upgrades.

Qualifications:

• Bachelor’s degree in Information Systems, Computer Science, Data Management, Business Administration or related field.
• 3 years of experience managing databases or CRM systems, preferably in a nonprofit environment.
• Experience with nonprofit CRM platforms such as OneCause, Omatic Blackbaud’s Raiser’s Edge, Gnosis or similar systems.
• Expert-level knowledge of Raiser’s Edge NXT (including the web view and database view).
• Proficiency in SQL or Microsoft Excel (Power Query/Macros) for advanced data manipulation. 
• Understanding of nonprofit accounting and IRS gift-reporting regulations.
• Strong communication skills to translate complex data information to other areas of the business from finance to development.
• Strong knowledge of database architecture, reporting tools and data governance practices.
• Proficiency in SQL, data imports/exports, integrations and reporting tools.
• Strong organizational, communication and problem-solving skills
• Experience supervising staff or managing cross-functional projects.

Work Environment:

This position requires the Database & Prospect Research Manager to work in an office environment and required attendance at flagship Pink Ribbon Good Sponsored events.
