Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
- Coordinate calendar management and appointment scheduling for staff and clients
- Handle customer support inquiries via phone, email, or in-person with excellent phone etiquette
- Assist with bookkeeping tasks using QuickBooks and maintain accurate financial records
- Support office management functions such as supply ordering, inventory tracking, and general administrative support
- Provide personal assistance as needed to executives or team members
- Maintain confidentiality of sensitive information while ensuring smooth office operations
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with QuickBooks or bookkeeping experience is desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional communication skills, including phone etiquette and customer service experience
- Bilingual abilities are preferred but not required
- Previous experience as a receptionist, medical receptionist, dental receptionist, or personal assistant is advantageous
- Ability to manage multiple tasks simultaneously while maintaining attention to detail
- Strong proofreading skills and time management capabilities
