We are seeking a high-energy, organized professional to manage our front office. This is a dual-role position requiring technical automotive knowledge and advanced administrative skills. You are the face of the shop and the engine that keeps the business organized.
Key Responsibilities
- Service Writing: Translate technician findings into clear customer estimates. Explain repairs, maintenance, and "why" a service is needed.
- Customer Relations: Manage all client communication (in-person, phone, email) with a professional, friendly, and trustworthy demeanor.
- Parts Procurement: Order parts, track deliveries, and manage returns/cores to keep the bays moving.
- Office Management: Full oversight of invoicing, accounts receivable/payable, and daily shop banking.
- Workflow Coordination: Schedule all appointments and manage the shop calendar to maximize technician productivity.
- Administrative Support: Filing, maintaining vehicle service histories, and managing shop supplies.
Requirements & Skills
- Basic Automotive Knowledge: Must understand vehicle systems (brakes, suspension, engine, etc.) and be able to communicate them accurately to non-technical customers.
- High-Level Multitasking: Ability to juggle ringing phones, walk-in customers, and technician questions without losing accuracy.
- Technical Literacy: Proficiency in Shop Management Software (e.g., ShopKey, Mitchell1, RO Writer) and Quickbooks/Excel.
- The "Neighbor" Factor: Must be approachable and excel at building long-term trust with a local customer base.
- Detail-Oriented: Zero-error tolerance for billing and parts ordering.
