Summary

The Administrative Assistant provides complete administrative, scheduling, logistical, and operational support to help teams work with clarity, consistency, and a healthy pace. This role supports daily ministry operations by managing calendars, coordinating meetings, tracking key details, maintaining awareness of active projects, and proactively preparing for upcoming events and initiatives.

Key Responsibilities

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

  • Provide complete administrative support by managing Outlook calendars for internal and external meetings, fielding phone calls, and responding to meeting requests in a way that promotes a healthy pace.
  • Prioritize and schedule meetings according to seasonal priorities, ministry rhythms, and leadership needs.
  • Track department/ministry budget information, including expense reports, purchase orders, and check requests and provide updates as needed.
  • Manage scheduling for all Connections servant leaders, including sending weekly schedule requests and coordinating team assignments.
  • Send weekly communication to servant leaders with important information and updates related to Sunday responsibilities and ministry needs.
  • Maintain and update servant leader records within Rock, including adding new servant leaders, documenting serving preferences, and assigning individuals to the appropriate group within Rock.
  • Respond to membership transfer letter requests and update membership status information in Rock.
  • Perform other duties as assigned.

Sunday Environment & Campus Preparation

  • Set up the Team Room each week, including snacks, water, lanyards, parking cart, walkie talkies, and check-in materials,
  • Maintain and manage coffee areas, including ordering monthly coffee supplies and replenishing Sunday supplies as needed.
  • Reset and prepare the auditorium weekly by restocking pens, Bibles, and seat-back materials.
  • Refill tithing envelopes and L3 guides throughout the campus as needed.
  • Order and maintain inventory for ministry resources and materials, including Bibles, tithing envelopes, seat-back pamphlets, and other ministry supplies.
  • Replace bathroom stall publications as directed

Baptism Coordination

  • Communicate with and schedule baptism candidates.
  • Manage baptism scheduling, including booking baptism spaces in Rock and maintaining the baptism calendar.
  • Coordinate scheduling for baptism hosts and baptizing pastors.
  • Prepare baptism materials, including baptism bags and certificates.
  • Prepare and set up baptism spaces for Sunday services.
  • Maintain inventory and organization of baptism supplies, including t-shirts, bags, keychains, certificate materials, folders, and other necessary items.

Special Events & Ministry Experiences

  • Coordinate and execute decor, setup elements, and photo opportunities for special events and seasonal celebrations including Easter, Christmas, Mother’s Day, Father’s Day, and other ministry events.
  • Assist in planning and executing the annual outdoor baptism event, Identify.
  • Support Connections ministry events and projects through logistical planning, preparation, and execution.

Systems and Tools

  • The Administrative Assistant is expected to develop and maintain a high level of proficiency with key ministry and operational systems, including Rock, Martus, Bill.com, Monday.com, Outlook, the One Church calendar, and Campus calendars.

Collaboration and Team Support

  • The Administrative Assistant meets regularly with other administrative team members to foster community, ensure consistency, share information, and support common goals across teams.

Qualifications

Education And/Or Experience

  • High school diploma or equivalent minimum; college experience preferred. Two to five years of administrative experience.

Language Skills

The individual must have excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, e-mail and in person, demonstrating tact and diplomacy. Exceptional interpersonal skills are required to develop and maintain strong working relationships with volunteers, co-workers, the public and church members and regular attendees. The individual must have the ability to understand written or oral instructions; read, analyze and interpret complex documents, instructions manuals, policies and procedures is essential.

Computer And Mathematical Skills

The individual must have demonstrated skill in the use of Windows/MacOS to complete tasks, including word processing and spreadsheets and the ability to use the internet for information retrieval. The individual must have basic mathematical skills, knowledge of bookkeeping and basic accounting, and budget and expense monitoring. The individual must have the ability to read financial information and spreadsheets.

REASONING ABILITY

The individual must be able to define problems, collect data, establish facts, and draw valid conclusions; respond effectively to the most sensitive inquiries; simultaneous conceptualization and planning of multiple tasks, ability to project outcomes using different implementation strategies and ability to apply creative and innovative thinking to problem situations; and solve practical problems. The ability to work effectively and efficiently under stressful conditions to ensure deadlines are met is essential.
