    The Pine-Richland School District is currently seeking a Special Education Secretary (12 month) to support students, staff, and community members.
    The starting rate of the position is $16.10 per hour, plus access to top-notch heatlh, dental and vision insurance.

    SUMMARY

    This position assists the Director of Student Services and Assistant Director of Student Services & Special Education with all secretarial duties needed to operate a comprehensive, district-wide department. This includes the maintenance of all records required for the provision of a continuum of services to students from early childhood through young adulthood who are identified as being in need of Special Education services and who require specially designed instruction through individualized education plans (IEPs). Additionally, this position teams with members of the Department of Student Services to ensure the redundancy of skill necessary for the efficient and effective functioning of all student support services.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Order, receive, track necessary supplies.
    • Review mail; organize or redistribute as needed.
    • Answer and direct incoming phone calls.
    • Handle requests, schedule appointments, take messages.
    • Keyboard, edit and proofread correspondence, reports, meeting minutes, contracts, newsletters and other documents.
    • Organize and maintain district files and records in accordance with law and board policy.
    • Assist in development and preparation of reports, communications and other documents.
    • Receive and welcome visitors to special education and pupil services offices.
    • Utilize access and generate reports or data from district software and databases.
    • Serve on district teams/committees.
    • Maintain student records in student services/special education database.
    • Send information and notices to parents.
    • Prepare requests for initial speech and language evaluations.
    • Assist teachers in the use of student services/special education database.
    • Understand and communicate the updates to student services/special education database.
    • Input and maintain data on Special Education (including ESL) students in the district’s student information system.
    • Report data on Special Education students as needed to the state (i.e., PennData, PIMS, etc.).
    • Assist the Director of Student Services and Assistant Director of Student Services & Special Education in monitoring the compliance of IEPs.
    • Once identified in pupil services/special education database, create physical files for students who qualify for Special Education.
    • Maintain current DART student files as received from the AIU.
    • Maintain physical and electronic records of Special Education students, including pre-active (DART), active (school age), inactive and graduated students.
    • Send copies of Special Education records to authorized agencies when requested.
    • Forward Special Education records when students move.
    • Gather records of Special Education students who move in to the district.
    • Collaborate with the district’s enrollment coordinator to enter new students accurately into the student information system.
    • Alert the Transportation Coordinator about any special transportation needs according to IEPs.
    • Perform clerical duties involved in implementation and management of the Extended School Year (ESY) program.
    • Prepare requisitions for purchase order submissions.
    • Maintain inventory of assistive technology devices, student use.
    • Make preparations necessary for billing submissions to ACCESS for reimbursement of medical services.
    • Assist in the preparation of materials for cyclical compliance monitoring reviews.
    • Assist in the planning and delivery of professional development activities for teachers and paraprofessionals.
    • Assist in clerical duties for PASA administration.
    • Attend trainings as necessary to stay current with use of software and reporting necessary to do the work of the department.
    • Maintain professionalism and confidentiality in all communications with persons inside and outside of the district.
    • Collaborate with other members of the office suite to maintain continuation of services during absences.
    • Maintain effective working relationship with professional and support staff, administration, students, parents and community groups.
    • Regular and timely attendance.
    • Other duties as assigned by the Director of Student Services or his/her designee.

    SUPERVISORY RESPONSIBILITIES:

    Monitor office workload and provide assistance and direction where necessary to other staff, visitors and volunteers, as needed.

    QUALIFICATION REQUIREMENTS:

    EDUCATION & EXPERIENCE
    Associate’s degree or equivalent experience required. Two or more years of experience with computers and database management preferred. Prior secretarial or office management experience in business or school environment. Knowledge of special education programs and delivery preferred.

    LANGUAGE SKILLS
    Ability to read, interpret and analyze complex data and reports. Ability to write reports for district administrative team and school board. Ability to effectively and efficiently document procedures. Ability to communicate clearly, concisely and effectively, both orally and in writing, with employees, school board members and members of the community.

    COMPUTER SKILLS:
    Proficient with personal computer programs, text documents, spreadsheets, databases, presentation development, and desktop publishing.

    MATHEMATICAL SKILLS
    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    REASONING ABILITY
    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to apply critical thinking and problem-solving skills.

    OTHER SKILLS & ABILITIES
    Proficient in data entry. Ability to develop effective and cooperative working relationships with co-workers, students, school staff and the school community, including those from diverse backgrounds. Ability to perform duties with awareness of and in compliance with all district and department rules and procedures, Board of Education policies, and applicable laws and accounting standards.
