    The Pine-Richland School District is currently seeking a Building Secretary (12 month) to support students, staff, and community members at Hance Elementary School. The starting rate of the position is $16.70 per hour, with access to top-notch benefits (medical, dental, vision and prescription drug coverage), paid-time off, and pension benefits through the state retirement system (PSERS).

    SUMMARY
    Provide general secretarial and clerical support to the building principal. Greet visitors, receive and respond to in-person, telephone and e-mail inquiries and correspondence, and facilitate communication of information between building administrators and faculty, staff, parents, students, and other members of the public.

    ESSENTIAL DUTIES AND RESPONSIBILITIES
    • Provide clerical and office support to the building principal including scheduling, filing, making/taking/routing phone calls and emails, and preparing correspondence, mailings, and other documents.
    • Type, prepare, distribute, file records/reports, correspondence, mailings, and other related documents connected to building functions and needs.
    • Greet parents, students and other individuals contacting or visiting the building and respond to inquiries.
    • Utilize student information system and other electronic tools to communicate with staff regarding class rosters, schedules, etc., as well as to assist parents with account access and registrations
    • Order, process, and maintain office materials, equipment and inventories including stock/supply room.
    • Monitor and process student attendance records, medical excuses, parent excuses, tardys, early dismissals, and other attendance documents.
    • Coordinate daily substitute staffing needs, including class coverages, substitute materials, and other staffing assignments, as needed.
    • Maintain accurate and complete records, as required by law, and ensure that all activities comply with Board policies, rules and guidelines and all administrative requirements.
    • Maintain effective working relationship with professional and support staff, administration, students, parents and community groups.
    • Assist with the updating of the Emergency Operations Plan, Emergency Evacuation Maps, and other building-level safety and security documentation.
    • Attend building and team meetings as necessary.
    • Assist with the preparation and distribution of required reports.
    • Regular and timely attendance.
    • Assist with the management and updating of the principal calendars.
    • Make PA announcements and distribute other faculty and staff communication, as needed.
    • Assist the Guidance Department, as needed.
    • Monitor building calendar for scheduled events, both during and after the school day.
    • Assist with the coordination of building events and programs.
    • Ability to operate standard office equipment (i.e., fax machine, copiers, scanners).
    • Other duties as assigned by the Building Principal or their designee(s).
    SUPERVISORY RESPONSIBILITIES:
    Monitor office workload and provide assistance and direction where necessary to other staff. Student and parent volunteers, as needed.

    QUALIFICATION REQUIREMENTS:

    EDUCATION AND EXPERIENCE:
    High school diploma or general education degree (GED); plus general office experience or training. Strong word processing skills are required; knowledge of spreadsheets, desktop publishing, and presentation development preferred. Current criminal record/child abuse clearances required.

    Respects and maintains the confidentiality of student records, personal communication and family background at all times.

    LANGUAGE SKILLS:
    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively speak and present information in one-on-one and small group settings with parents, staff and students.

    COMPUTER SKILLS:
    Proficient with personal computer programs, text documents, spreadsheets, databases, presentation development, and desktop publishing.

    MATHEMATICAL SKILLS:
    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Able to compute rate, ratio, and percent. Able to draw and interpret line and bar graphs.

    REASONING ABILITY:
    Able to apply common sense understanding to carry out detailed written or oral instructions. Able to deal with problems involving several concrete variables in standardized situations.

    OTHER SKILLS and ABILITIES:
    Able to type a minimum of 55 words per minute. Able to operate a variety of standard office machines. Able to develop effective working relationships with students, staff and the school community. Able to communicate clearly and concisely, both orally and in writing. Exhibit patience when dealing with parents, students, faculty and staff. Able to perform duties with awareness of all district requirements and school district policies.

    While performing the duties of this job, the employee is regularly required to reach with hands and arms. The employee frequently is required to stand, walk, sit, and talk or hear. The employee is occasionally required to stoop, kneel, or crouch. Physically able to perform job responsibilities, including able to lift, handle or push at least 25 lbs. on a regular basis. Specific vision abilities required by this job include close vision, distance vision, and peripheral vision.

    While performing the duties of this job, the noise level in the work environment is usually moderate, but will vary depending on the time of day and activity within the office setting.
