Dental Front Desk Administrator

Position Summary / Experienced Dental Applicants Only

The Dental Administrator is responsible for the efficient administrative operation of the dental practice, while ensuring accurate, timely, and compliant dental insurance billing and collections. This role directly impacts practice profitability, patient satisfaction, and cash flow by managing front-office administration, insurance verification, claims submission, payment posting, and follow-up on outstanding accounts.

Key Responsibilities

Administrative & Front Office Duties

  • Manage daily front-office operations, including scheduling, patient check-in/check-out, and phone management
  • Maintain accurate patient demographic, insurance, and financial records in the practice management system
  • Coordinate communication between clinical staff, providers, and patients
  • Handle correspondence, document management, and office reporting
  • Support office workflow optimization and administrative efficiency

Insurance Billing & Revenue Cycle Management

  • Verify dental insurance eligibility, benefits, and coverage prior to treatment
  • Accurately submit dental insurance claims (electronic and paper)
  • Assist in Posting insurance payments, EOBs, and patient payments accurately
  • Assist and Identify, research, and resolve claim denials, rejections, and underpayments
  • Perform insurance follow-up to ensure timely reimbursement
  • Assist patients with insurance questions and benefit explanations

Financial & Reporting Duties

  • Reconcile daily deposits and payment records
  • Monitor key financial metrics including AR aging, collection ratios, and claim turnaround times
  • Prepare billing and production reports for management
  • Support month-end and year-end administrative and billing processes

Qualifications

Required

  • Minimum 2–3 years of experience in dental administration and insurance billing
  • Strong knowledge of dental insurance plans, CDT codes, and billing procedures
  • Proficiency with dental practice management software (Dentrix Ascend)
  • Strong organizational, analytical, and problem-solving skills
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment

Preferred

  • Experience with Medicare Advantage, and multiple PPO plans
  • Knowledge of dental compliance and regulatory standards
  • Prior experience in a multi-provider or high-volume dental practice

Compensation

  • Competitive hourly wage based on experience
