- Manage front desk operations, greeting visitors and clients with professionalism and warmth.
- Handle multi-line phone systems, directing calls accurately and courteously while providing excellent customer support.
- Maintain organized files, spreadsheets, and records using productivity software such as CRM, MoneyGuide, and Holistiplan.
- Perform data entry tasks with precision, ensuring all information is accurate and up-to-date.
- Coordinate calendar management and scheduling for meetings, appointments, and events.
- Assist with office management duties including supply inventory, equipment maintenance, and general administrative support.
- Proofread documents, emails, and correspondence to ensure clarity and correctness before distribution.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills.
- Experience with financial CRMs, Planning tools or similar software is highly desirable.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Strong phone etiquette and communication skills, including experience with multi-line phone systems and client interaction.
- Previous office experience or administrative background demonstrating clerical expertise.
- Ability to manage time effectively while prioritizing tasks to meet deadlines.
- Familiarity with Financial receptionist duties or financial office procedures is advantageous but not required.
