Range Explanation
The Green Valley Justice Court is seeking a Case Management Specialist to support its civil caseload. This position is responsible for civil case management activities, scheduling hearings and court events, reviewing and preparing court documents, and ensuring the timely and accurate processing of cases. This role also provides customer service to the public through frequent in-person and telephone interactions. Experience communicating in both English and Spanish in a court or legal environment is preferred. Additionally, you will perform specialized legal clerical and administrative duties in support of the Pima County Courts, helping to ensure efficient court operations and effective case processing.
This position reports to Green Valley Justice Court located at 601 N La Canada Dr., Green Valley, AZ 85614.

Successful completion of course-work in legal terminology and legal office procedures from an accredited school AND one year of legal clerical experience involving the preparation and processing of legal documents or providing legal clerical support to an attorney.

One year with Pima County in a Court Case Management Generalist, Legal Secretary-Courts, or related position as determined by the department head at the time of recruitment.

Licenses and Certificates: Valid driver license is required at time of application. Valid AZ driver license is required at time of appointment. The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine applicant’s suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Any offer of employment resulting from this recruitment is contingent upon Fleet Services’ review and approval of the candidate’s driving record.

Successful candidates will receive a post-offer, pre-employment background screening to include verification of work history, education, and criminal conviction history. - Gathers information, prepares legal documents, and types legal forms, correspondence, documents and depositions, and ensures legal requirements and deadlines are met;
- Conducts computer searches to obtain or validate information such as prior criminal histories, asset information, credit histories, financial assets, place of residence and employment using various restricted access resources;
- Reviews materials received, sets up files and initiates paperwork;
- Transcribes from electronic dictation and prepares legal reports, correspondence and forms;
- Prioritizes, assigns and reviews the work of other litigation support staff;
- Searches for, retrieves, and provides information on case disposition to concerned parties using both manual and automated systems, determines further action as required;
- Determines prioritization of trials, sets up maintains calendars of hearings, trials, depositions and response times on pending litigation;
- Compiles statistical data concerning unit operations and prepares periodic and special reports;
- Processes motions for continuance, suspension or dismissal through the court system;
- Reviews case files to ensure completeness of records and contacts appropriate agencies or parties to verify information and obtain missing documents;
- Coordinates work activities with other sections or divisions;
- Creates and maintains new records and client files and input/retrieves information using computer systems;
- Assists judges in court by docketing case information into the computer system;
- Operates various office equipment, such as typewriters, computers, facsimile machines, photocopiers and calculators.
