Primary Responsibilities
- Effectively create physical files, image and save electronic documents, handle all aspects of physical and electronic file circulation, send and receive files from offsite storage, check-in and check-out files, manage on-site file storage process, complete office audits and review as needed.
- Handle incoming and outgoing file transfers, process importing and exporting projects, assist end-users with DMS request (organization of workspace, saved searches, etc.), process various reports/data gathering from Information Management Systems, work with the Records manager to handle the departure of staff and attorneys – regarding information retention and transition, handle onboarding laterals.
- Process Doc/Lit Holds, ability to communicate Department Policy and Procedures to end-users and attorneys, handle new hire orientations.
- Support the Firmwide Records Manager with projects and handle data and file destruction requests related to protective orders, confidentiality agreements, and other client-specific obligations.
- Keep updated on Firm policies, oversee department projects and daily operations. Oversee employee performance, offering guidance and resolving issues, recommend practices to enhance efficiency, service quality, and employee relations, aligning with the Firm's Core Values.
Education & Experience
- High school diploma or equivalent
- Minimum of four years of directly related experience in a law firm or legal department with experience in digitizing company records.
- Experience with IP Prosecution information management is a plus Qualifications
- Ability to foster cross department collaboration including IT, Lit Support and others
- Knowledge of Information Management and how best practices support the security of information as a priority
- Effective interpersonal communication skills, both verbal and written.
- Occasional standing, walking, bending, and reaching. Ability to lift and carry up to 20 pounds as needed.
