We are currently seeking a highly organized, resourceful, and proactive Clinical Scheduler to provide accurate schedules to both staff and the families we service.

This is a dynamic, multifaceted role for someone who thrives in a fast-paced environment and takes pride in keeping things running smoothly behind the scenes.

What You'll Do

  • Build and maintain weekly schedules for clients and staff, ensuring optimal coverage and continuity of care
  • Coordinate and manage staff assignments based on availability, case requirements, and client needs
  • Communicate schedule updates, changes, and cancellations to families and staff in a timely and professional manner
  • Manage the clinic's scheduling email inbox and phone line, responding promptly to inquiries from families, staff, and providers
  • Track and process staff callouts and client cancellations, identify coverage solutions, and update schedules in real time
  • Assist with the intake process for new clients, coordinating with clinical leadership to ensure smooth onboarding
  • Maintain accurate scheduling records and documentation within our electronic systems
  • Collaborate closely with BCBAs, clinical supervisors, and administrative staff to support clinic-wide operations
  • Support staff with scheduling-related questions and concerns with professionalism and care
  • Identify scheduling conflicts proactively and problem-solve efficiently to minimize disruption to services

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred
  • Prior experience in scheduling, administrative coordination, or a healthcare/clinical setting strongly preferred
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace (Sheets, Calendar, Gmail) and Microsoft Office
  • Experience with electronic health record (EHR) or scheduling software a plus
  • Ability to multitask and adapt quickly in a fast-paced environment
  • High attention to detail and accuracy
  • Ability to handle sensitive and confidential information with professionalism
  • Bilingual (Spanish and/or Portuguese) is a strong plus

Position Requirements

  • Must undergo a full criminal history background check & clearance
  • Demonstrate a strong work ethic
  • Record data in a timely and accurate manner
  • Review data regularly and notify supervisors of relevant information or changes
  • Must have consistent modes of travel to clinic location in Brookfield, CT

Pay: $39,000.00 - $45,000.00 per year
