GENERAL STATEMENT OF DUTIES: Responsible for basic daily office operations. Assures a timely greeting, registration, and flow of patients to physicians. Maintains departing patients with correct charges, payment arrangements, and answers to their questions. Accountable for the general operation of the office in the most efficient manner and implementation of company procedures and policies in the appropriate office. Assist in the delivery of primary health care and patient management.
EDUCATION: High school diploma or GED required. Completion of courses in medical terminology, CPT/ICD-9 coding, insurance claims processing, accounting, collections, typing, and computer classes highly desirable. Telephone handling, human relations, and courtesy training helpful.
EXPERIENCE: A minimum of one year employment with PPSD and clinical experience as a Medical Assistant is required. Knowledge of accounts receivable and collections experience in a medical office preferred. Will consider other combinations of work experience and settings.
JOB RELATIONSHIPS: Supervises administrative and clinical personnel in assigned office.
WORKING CONDITIONS: Works in a fast-paced, well lit, comfort controlled medical office. High traffic area in a close work environment. Interaction with others may be constant and interruptive. Work may be very stressful. Most of public contact involves people needing medical care. Occasional irregular hours. Telephone and public contact heavy with questions from patients. Contact may involve dealing with angry or upset public. Potential exposure to communicable diseases, toxic substances, and other conditions common to a clinic environment.
PHYSICAL DEMANDS: Requires sitting, data entry, and viewing computer screens for long periods of time. Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination. Involves substantial standing and walking. Ability to type, operate calculator, telephone, copier, fax, and other office equipment as necessary. Vision should be correctable and hearing within a range discernible to telephone/paging contacts

ESSENTIAL FUNCTIONS:
Management
Assures that:
- All office staff are scheduled appropriately
- Clinical staff are scheduled appropriately per needs of the providers
- Office operations run smoothly according to company policies and procedures
- Areas of improvement are identified and addressed with corrective actions
- Communication with Director of Operations and Director of Nursing is timely and effective
- Conduct bi-weekly meetings with staff and others as needed. Make certain each meeting is run according to agenda and minutes are distributed.
- Responsible for articulating policies and procedures of the practice to the staff and ensuring compliance with such and performing re-education for staff as needed.
- Collect and process medical and office supply orders weekly or as needed.
- Carries out personnel disciplinary functions when appropriate.
- Maintain supply room and establish reorder policies for supplies. Make sure supplies are promptly unpacked and placed in appropriate places.
- Maintain medical equipment in the most beneficial method for longer life.
- Respond to staff issues and maintain professional demeanor and actions.
- Monitor and improve office functions.
- Coordinate, complete and evaluate training for new staff.
- Ensure clinical staff is maintaining prompt communication with patients.
Reception of Patients
Assures that:
- Patients are greeted in a prompt, courteous, and helpful manner and properly registered
- Records are accurately and fully completed
- Information is entered into computer and insurance benefits are obtained and related to patient prior to physician contact
- Patients are greeted and checked-out in a prompt, courteous, and helpful manner
- Charges and payments are accurately determined as established by office policy
- Patients' questions concerning charges, billing, and appointments, etc. are resolved
Charges
Assures that:
- Daily charge sheets etc are forwarded to the insurance department as soon as possible on a daily basis
- Patient payments are collected at the time of visit and immediately posted to the account
Telephone
Assures that:
- Incoming calls are answered promptly and professionally
- Callers' needs are assessed and directed to appropriate personnel
- Answering service is activated and relieved of calls
- Calls to physicians are properly screened
Appointments
Assures that:
- Referral appointments are promptly and accurately scheduled and communicated to referring offices
- Physician schedule is filled in the most efficient manner, utilizing his/her established template
Patient Care
1) Responsible for assisting the physician(s) in the care of patients to assure optimal medical care.
- Keeps appointments flowing smoothly to assure all patients are seen timely, and the physician's time is well-managed
- Posts daily patient schedule and keeps physician(s) informed of appointments
- Greets and escorts patients to treatment room
- Takes patient's history. This includes but not limited to chief complaint, family history, and drug allergies
- Reviews patient information and education with patient before physician enters treatment room
- Prepares patients for exam/procedure
- Assists (as trained) physician(s) in the exam/procedure
Responsible for patient education:
- distributes pamphlets and samples
- gives care instructions verbally
- provides instruction sheets
- answers patient's questions
- Gives injections/local anesthesia
- Applies dressing changes and performs suture removals
- Promptly responds to any intercom call and/or any physicians' request
- Observes sterilization guidelines
- Prepares treatment room for next patient (includes cleaning, stocking, and instruments ready)
- Responds to emergency situations confidently and professionally
- After exam/procedures checks chart and charge sheets for accuracy and completeness before directing patients to front desk
- Assists in scheduling follow-up appointments
MARGINAL FUNCTIONS:
- Must attend staff meetings and in-service programs
- Maintains a clean, safe, and prepared work area
- Remains in compliance with OSHA/Bloodborne Pathogen guidelines and Hazardous
Communication guidelines Ensures compliance with HIPAA requirements
- Manage Pathology log. Ensure accuracy of entries. Timely processes pathology reports, (CLIA-including checking computer for report entry/results)
- Keeps facility clean and safe
- Ensures supplies are promptly put away upon arrival
- Keeps management informed in a timely manner
- Maintains patient confidentiality
- Prepares reports as requested
- Maintains supply orders and equipment
- Maintains accurate, complete, and timely patient records.
- Monitors drug samples and sales people.
- Assures treatment rooms are clean and stocked (supplies, pamphlets, etc.)
- Completes required chart audits
