Key Responsibilities:
1. Customer & Showroom Excellence
- First Point of Contact: Greet showroom visitors, answer phone inquiries, and provide initial information on fireplace models and glass options.
- Lead Management: Qualify incoming leads and assign them to the appropriate sales representative.
- Problem Resolution: Act as a liaison between customers and the field team to resolve scheduling conflicts or service issues promptly.
- Vendor Relations: Place orders with glass manufacturers and fireplace distributors. Track shipments to ensure materials arrive on-site before scheduled installation dates.
- Invoicing & Collections: Prepare accurate invoices for residential and commercial clients. Follow up on outstanding accounts receivable. Prepare accurate billing for our accounts payable.
Qualifications & Skills
- Experience: 1-3 years of office management experience, preferably in the construction, hearth, HVAC, or glass industry.
- Software Proficiency: Experience with office software, QuickBooks, and the Microsoft Office Suite
- Communication: Exceptional verbal and written communication skills with a focus on professional customer service.
- Logistics: Strong geographical knowledge of the Columbia area to assist in efficient crew routing.
- Primarily an office/showroom environment.
- May occasionally need to assist in the warehouse to verify a shipment (ability to lift up to 25 lbs).
- Must be comfortable working in a fast-paced environment where priorities shift based on weather conditions or supply chain delays.
