Job Summary
The Tribal Administrative Operations Specialist provides professional administrative and clerical assistance to the Tribal Council Chief of Staff, ensuring efficient daily operations within the Tribal Council Administration Office. This position plays a key role in supporting executive scheduling, document preparation, correspondence, and communication across departments. The incumbent also manages reception duties, assists with meetings and events, and maintains organized records and office systems. This role requires professionalism, discretion, attention to detail, and the ability to manage multiple priorities in a dynamic government setting while maintaining confidentiality at all times.
Essential Duties and Responsibilities:
- Provides direct administrative support to the Tribal Chief of Staff, including scheduling meetings, preparing agendas, managing correspondence, and maintaining calendars.
- Prepares, proofreads, and distributes official correspondence, reports, meeting materials, and other administrative documents.
- Assists in the planning, coordination, and documentation of meetings, events, and community gatherings, ensuring all logistics, materials, and follow-up actions are handled accurately.
- Records and distributes meeting minutes promptly and maintains organized records of all administrative actions.
- Supports the preparation of reports, presentations, and other documents for internal and external use.
- Coordinates travel arrangements, expense tracking, and check routing for the Tribal Council Chief of Staff, and Council Members.
- Provides administrative assistance in the management of department projects, communications, and special initiatives.
- Maintains organized electronic and hard copy filing systems, ensuring accuracy and confidentiality in all recordkeeping.
- Assists with general office operations, including supply ordering, equipment tracking, and vendor coordination.
- Coordinates incoming and outgoing mail, deliveries, and interoffice communications.
- Serves as the first point of contact for visitors, callers, and staff; provides professional reception and directs inquiries appropriately.
- Maintains a professional and welcoming reception area that reflects the Tribe’s integrity and values.
- Coordinates and supports virtual and in-person meetings using Zoom, Microsoft Teams, or Google Meet.
- Ensures compliance with confidentiality requirements, office procedures, and Tribal policies.
- Performs other duties as assigned by the Deputy Tribal Administrator.
Minimum Requirements:
- High school diploma or GED required; associate’s degree in business administration, office management, or a related field preferred.
- Minimum of two (2) years of administrative or clerical experience, preferably in a tribal government, public sector, or customer service environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms such as Zoom, Microsoft Teams, and Google Meet.
- Strong written and verbal communication skills, including the ability to prepare and proofread professional documents.
- Excellent organizational skills with high attention to detail and accuracy.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Must maintain professionalism, discretion, and confidentiality in all communications.
- Must have a valid California Driver’s License and maintain a satisfactory driving record.
- Must successfully complete a background check and pre-employment drug/alcohol screening.

Tribal Preference:
In accordance with applicable Tribal law and Title VII of the Civil Rights Act of 1964, the Picayune Rancheria of the Chukchansi Indians (PRCI) Administration provides employment preference to enrolled PRCI Tribal Members. To qualify, applicants must submit valid proof of enrollment. Tribal Members who meet the minimum qualifications will be given preference in hiring, promotion, transfer, and layoff decisions. During the interview process, PRCI Tribal Members will receive an additional 7.5 points (10% of the 75-point interview rubric). Non-PRCI Native American candidates will receive an additional 5 points (6.7% of the total points) in accordance with Indian Preference guidelines.
INDIAN PREFERENCE STATEMENT:
In compliance with 25 CFR Part 276 and Title VII of the Civil Rights Act, Sections 701(b) and 703(i), employment preference shall be given to qualified applicants who are enrolled members of the Picayune Rancheria of the Chukchansi Indians, and secondarily, to another qualified American Indian/Alaska Native Candidate.
