We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate thrives in a fast-paced healthcare environment, exercises excellent judgment, and maintains the highest level of professionalism and confidentiality.
The ideal candidate will possess the following key competencies: strong organizational, planning and communication skills, problem solving, judgment and decision-making ability, initiative, flexibility, confidentiality, discretion and attention to detail and accuracy. A sense of ownership in responsibilities and pride in the work product is a must.
Responsibilities include but are not limited to:
- Manage and maintain CEO’s Professional and Personal schedules, appointments and travel arrangements
- Take dictation, transcribe, prepare, draft and edit correspondence, communications, CEO’s lectures and other documents
- Assemble and assist in analyzing data to prepare contracts, proposals, reports and documents using word processing, spreadsheet, and database, or presentation software
- Manage designated databases and have knowledge of and coordinate with consultants for social networking and WEB applications
- File, retrieve and maintain contracts, proposals, reports and lecture materials
- Catalogue, distribute to and retrieve from the management team all pertinent reference materials
- Arrange and coordinate meetings and events
- Record, transcribe and distribute minutes of meetings
- Monitor, respond to and distribute incoming communications, including email where designated
- Answer and manage incoming calls
- Receive and interact with executives’ incoming visitors
- Interact with external clients
- Co-ordinate project-based work
Education and Experience
- At least 5 years’ experience of providing support at the executive level
- Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
- Knowledge of standard office administrative practices and procedures to include dictation and initiating correspondence.
