Key Responsibilities
Leadership & Staff Management
- Supervise and support the clinical float pool team including medical assistants, or other designated clinical staff.
- Coordinate staffing assignments to provide coverage for departments experiencing staffing shortages, high patient volumes, or operational needs.
- Conduct performance evaluations, coaching, and ongoing staff development.
- Promote teamwork, accountability, and high service standards across departments.
- Develop and oversee onboarding programs for new float pool employees.
- Train staff to function effectively across multiple departments and providers.
- Maintain competency validation for clinical tasks and workflows.
- Ensure staff are trained on EMR workflows, departmental processes, and clinical protocols.
- Identify training gaps and coordinate continuing education opportunities.
Ensure float pool staff are able to provide cross-departmental support including:
- Rooming patients and preparing exam rooms.
- Collecting and documenting patient vitals and medical history.
- Assisting providers with patient care and clinical procedures.
- Managing phone notes and patient messages in the EMR.
- Processing medication refill requests per protocol.
- Assisting with prior authorizations.
- Supporting general clinical workflow needs within departments.
- Assist with EMR implementation including chart prep.
- Coordinate float pool schedules to maximize coverage and efficiency.
- Serve as the primary contact for departments requesting clinical support.
- Monitor staffing needs and anticipate coverage gaps.
- Assist leadership in workforce planning and staffing strategy.
- Support implementation of clinical workflow improvements.
- Ensure float pool staff follow clinical policies, infection control standards, and regulatory guidelines.
- Maintain documentation of staff training and competencies.
- Monitor adherence to practice protocols and patient safety standards.
- Assist with quality improvement initiatives.
- Work closely with practice managers, clinical supervisors, and providers to assess staffing needs.
- Support departmental leaders in maintaining smooth clinic operations.
- Communicate staffing changes and operational updates to leadership.
Education
- High school diploma required.
- B.S. in related healthcare field. Clinical certification (CMA, RMA, LPN, or equivalent) preferred.
- Minimum 3–5 years of clinical experience in a medical practice.
- Prior experience supervising or training clinical staff preferred.
- Experience working across multiple specialties or departments strongly preferred.
- Strong leadership and team development skills.
- Excellent organizational and scheduling abilities.
- Knowledge of clinical workflows in an outpatient practice.
- Proficiency with electronic medical records (EMR).
- Strong communication and problem-solving skills.
- Ability to adapt quickly to changing clinical needs.
- Ability to stand and walk for extended periods.
- Ability to assist with patient movement when necessary.
