What are the responsibilities and job description for the Administrative Assistant position at Phoenix Rising Prosthetic Orthotic Service?
We are looking for an additional reliable and organized part time Office Administrative Assistant to join our team. We are open by appointment between 10-7 M-Th and 10-6 Fridays. You will be needed on Monday, Tuesday, and Thursday from 10-5:30 pm. Additional hours are a possibility.
Responsibilities:
- Answer the phone promptly and professionally. Record and relay messages.
- Enter patient demographics, insurance information, and prescription information as soon as possible with first communication with the patient.
- Schedule patients once the prescription has been faxed, phoned in, or at the practitioner’s request.
- Obtain and follow up on prescriptions and insurance authorizations.
- Verify patient insurance benefits and notify the patient of copay obligations, preferably at the 1st visit before the patient leaves. Make sure all signed financial statements are scanned into the chart.
- Collect co-pays and scan receipts to chart. Post co -pays to patient account.
- Ensure all documentation is received in a timely manner and is compliant with HIPPA and insurance requirements. When in doubt, alert the practitioner and create a joint plan of action.
- Keep the Work in Progress (WIP) up to date and schedule patients accordingly.
- Review chart before delivery to make sure all insurance authorization and benefits are current and all outside paperwork is within insurance time limits.
- Make sure all appropriate documents are uploaded to each chart.
- Minor running of errands, light cleaning and organization.
- Other needs as they arise.
Qualifications:
- College degree preferred but not required. HS degree required.
- Detailed oriented problem solver
- Reliable with a good work ethic
- Able to communicate professionally with doctors’ offices and medical facilities to obtain and clarify information by phone, email, and fax. Prior experience in a medical office, orthotic and prosthetic facility, or physical therapy clinic preferred.
- Intermediate experience using Microsoft Windows and Office is required.
- Experience with Nymbl electronic medical records system is preferred but not required.
- Good interpersonal skills
- Willingness to learn new skills.
