What are the responsibilities and job description for the Program Administrator position at Phoenix House of New York?
SUMMARY:
The Program Administrator reports to the Program Director and helps assist with the daily operations and administrative oversight of the site to ensure goals and objectives are achieved.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties and responsibilities may be assigned as needed.
Detail oriented management of all record keeping and tracking of petty cash. Ensures receipts are provided in a timely manner.
Coordinates with other support departments such as human resources, finance, and facilities on behalf of the Program Director to ensure program needs are met.
Evaluates and monitors the facility and reports findings to the program director and facilities manager.
Ensure program is complaint with all governing entities (OASAS, DOL, etc.).
Completes monthly STARS/HRA reports and any other reporting needs as warranted by the Program Director.
Completes and ensures the CDS system is accurate and reflects the current population.
Organizes campus events for patients and/or staff.
Conduct monthly inventory to ensure an adequate supply of janitorial, toiletries and building supplies are available. Places orders as needed.
Help assist the admin with Personal Needs Allowance for the clients and ensures that accurate records are kept and that clients sign off on receiving the PNA.
Attend regular program leadership at request of Program Director for note taking, follow ups, etc.
Requires excellent communication, detail-oriented, self-efficacy, and problem solving skills for day to day assistance of the Program Director in managing the usual administrative and operations needs of the site.

REQUIRED EDUCATION
High School diploma
Bachelor’s degree, preferred
LICENSES/CERTIFICATIONS
Credentialed Alcoholism and Substance Abuse Counselor (CASAC) in good standing, preferred
REQUIRED EXPERIENCE
Minimum five years of experience working in substance use disorder treatment
Minimum two years of experience in a supervisory role
Understanding of OASAS regulations
Excellent managerial and supervisory skills.
Extensive knowledge of operations and production management.
Ability to interpret financial data as needed to set budget goals.
Excellent organizational skills and attention to detail.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite or similar software.
WORK ENVIRONMENT
