The Administrative Assistant is a sales support position and is expected to enhance the client experience by providing exceptional customer service, supporting office functions as needed, and serving as operational support to the branch Sales Assistant. The assistant is responsible for understanding firm policies and procedures that will allow them to interact with the company's Operations Department as well as with new and existing clients. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our team.

Responsibilities
- Provides administrative support to the branch Sales Assistant, acts as the point of contact among executives, employees, clients and other external partners
- Professionally managing incoming telephone calls and courteously greeting visitors upon their arrival
- Sorting, reading and annotating incoming mail and documents, disseminating information flow in a timely and accurate manner
- Format information for internal and external communications - memos, emails, presentations and reports
- Open and update new accounts
- Organize and maintain a FINRA compliant filing system, assist in the compliance review process
Skills
- Proficient in Adobe Acrobat and MS Office Word, Excel, Outlook
- Excellent customer service, communications and organizational skills
- The ability to work on multiple projects with competing timelines
- Work independently as well as collaboratively within a team environment
- Positive attitude, high energy and professional demeanor
- Excellent written and oral communication skills
- Ability to exercise good judgment by recognizing urgency and setting priorities
