Job Summary
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive administrative support to our leadership team. This energetic professional will streamline daily operations, manage complex calendars, coordinate projects, and handle a variety of clerical tasks with precision and enthusiasm. The ideal candidate is proactive, detail-oriented, and excels at multitasking in a fast-paced environment. Executive & Administrative Support:
- Calendar and Schedule Management: Expertly manage the Clinic Owner's complex professional and personal calendar, including scheduling meetings, appointments, and reminders.
- Communication Hub: Act as the primary point of contact for the Clinic Owner, screening and managing all correspondence (emails, calls, and texts) with professionalism and confidentiality.
- Documentation & Reporting: Prepare, edit, and organize confidential documents, presentations, and reports.
- Office Administration: Manage general office supplies, equipment, and vendor relations to ensure a smooth-running clinic.
- Special Projects: Take ownership of various projects, including research, community event coordination, and initiative implementation.
Clinic & Patient Support (May overlap with a Chiropractic Assistant role):
- Patient Experience: Greet and check-in patients, ensuring a welcoming and efficient office flow.
- Record Keeping: Assist with managing and updating Electronic Health Records (EHR) and maintaining meticulous patient files.
- Billing Support: Oversee patient billing, payment collection, and insurance verification/claims support.
- Marketing Support: Assist with the creation, scheduling, and management of social media content and other marketing activities in alignment with the clinic's brand.
- Cleanliness & Organization: Ensure treatment rooms and common areas are clean, organized, and prepared for patient use.
Qualifications
- Proven Experience: Minimum of 2-3 years of experience in an Executive Assistant, Personal Assistant, or high-level Administrative role.
- Organizational Mastery: Exceptional organizational and time management skills with a proven ability to multitask and prioritize effectively.
- Confidentiality: Demonstrated ability to handle sensitive information with the utmost discretion and professionalism.
- Tech Savvy: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with calendar management software.
- Communication: Excellent written and verbal communication skills with a professional and compassionate demeanor.
- Education: High school diploma or equivalent.
