What are the responsibilities and job description for the Philomath High School Attendance Clerk (0.5 FTE) position at PHILOMATH HIGH SCHOOL?
Purpose:
Under the direction of school administration, collect and maintain student attendance information at Philomath High School. Manage district, state, and federal requirements related to attendance processes, including student passes, parent notification, and preparation and distribution of attendance reports to relevant stakeholders. Primary responsibility for greeting public and answering school phones and for providing clerical support at the school site.
Essential Duties and Responsibilities:
- Ensures student access to class as quickly as possible upon student late arrival to school.
- Communicates with parents, students, and staff for the purpose of providing information on a variety of attendance issues and meeting district and state absence notification requirements.
- Ensures accuracy of attendance records for purposes of meeting Oregon laws governing student attendance.
- Maintains accurate electronic attendance records and schedules for the purpose of providing reliable attendance information to essential stakeholders.
- Processes disciplinary documents and materials related to student attendance (e.g., suspension notices, change of placement, and/or health notices) for dissemination of information to essential stakeholders.
- Responds to inquiries from a variety of individuals for the purpose of providing required information.
- Responsible for greeting public—in-person or via telephone—as they enter the assigned school.
- Assists with administration of first aid and medication administration to students under the direction of District Nurse for the purpose of meeting immediate health care needs.
- Assist other office personnel, as may be required, for the purpose of supporting the completion of work activities.

Qualifications and Experience:
- High school diploma required; Associate’s degree or two years of college preferred.
- Experience working with children in a school setting preferred.
- Bilingual/Spanish preferred.
- Ability to interact effectively and collaboratively with individuals and groups of students.
- Ability to communicate effectively both verbally and in writing and to promptly follow instructions.
- Ability to independently organize and carry out work assignments.
- Ability to collect, record, store, retrieve, organize and utilize information and records efficiently.
- Ability to obtain specialized training as required for the position.
- Ability to obtain and maintain First Aid and CPR certifications.
- Ability to complete and pass criminal history background verification.
Contract:
4 hours per day, Salary depending on experience, and benefits per the Classified negotiated agreement. Calendar includes all inservice activities and all student contact days.
