Responsibilities May Include
- Oversight of Service Provider
- Analyze and interpret division order title opinions and pay lists to establish and maintain accurate ownership records.
- Review and approve ownership changes based on conveyance, probate, and other legal documents.
- Provide guidance and oversight to third-party providers (Opportune) to ensure owner relations inquiries and transfers are handled accurately and timely.
- Support complex case resolution related to ownership disputes and lease inquiries in collaboration with the Lease Office.
- Monitor managed service provider performance to ensure adherence to established service level agreements (SLAs) and quality standards.
- Conduct root cause analysis of ownership discrepancies and support remediation efforts to maintain data integrity.
- Financial Controls and Regulatory Compliance
- Perform bank verification SOX control reviews to identify and mitigate suspicious activity or fraud related to banking changes.
- Ensure that internal controls are followed for ownership and payment updates, aligning with regulatory and audit requirements.
- Collaborate with internal stakeholders to support compliance with royalty distribution standards, including appropriate regulatory reporting (e.g., 1099/1042, backup withholding, escheat).
- Performance Monitoring and Quality Assurance
- Monitor service provider metrics and performance dashboards to ensure alignment with KPIs and business goals.
- Escalate and resolve performance or quality issues that impact ownership accuracy, revenue distribution, or stakeholder satisfaction.
- Identify and drive value creation opportunities, including the transformation of subprocesses to improve efficiency, data quality, and automation.
- Required Deliverables and Metrics
- Ownership Accuracy: Drive high data quality in division of interest (DOI) setup and ownership transfers.
- SOX Compliance: Execute control reviews and ensure compliance in ownership change and banking processes.
- Inquiry Resolution: Meet timeliness targets for owner and lease office inquiries.
- Process Oversight: Ensure third-party compliance with operational SLAs and KPIs.
- Minimum 3 years of experience in Division Order or Land Administration
- Proven experience interpreting legal documents such as deeds, wills, and probate documentation
- Associates Degree
- Knowledge of industry regulations and practices regarding ownership and revenue allocation
- Familiarity with SOX controls and financial risk mitigation in oil and gas operations
- Strong analytical skills with the ability to resolve complex ownership and distribution issues
- Effective communication and stakeholder management skills
- Knowledge of state and federal regulatory compliance for crude oil revenue accounting, including 1099/1042, escheatment, and royalty owner payments
- Proficient in Microsoft Excel (pivot tables, VLOOKUPs, macros) and other data management tools for reconciliation and reporting
- Demonstrated ability to troubleshoot discrepancies, ensure data integrity, and oversee process controls
- Strong communication and problem-solving skills for effective coordination with third-party service providers and internal teams
- Ability to work independently in a self-directed role, prioritize tasks, and meet tight deadlines
- Ability to analyze large datasets and identify trends, discrepancies, and process optimization opportunities
- Previous experience managing or working with outsourced service providers
- Experience with automation tools and process improvement initiatives to enhance operational efficiency
