Enrollment Services Specialist for Admissions

Job Summary

Performs a variety of responsibilities related to Enrollment Services at Philander Smith College. The Specialist acts as the primary point of contact for students in processing admissions and registration related documents. Answers questions in person, via the internet, U.S. mail or by phone regarding college policies and procedures related to admissions, registration, testing, advising, financial aid, and other Student Services. Coordinates with other student services areas to facilitate the consistent delivery of admissions and registration services. Refers students to appropriate college resources. Provides service to a diverse population to high school students and other community members whose needs and interests vary.

Typical Duties and Responsibilities

  • Interprets and responds to student inquiries regarding admissions and registration; gathers and evaluates information; interprets policies and guidelines; refers students to appropriate departments; provides customer service in a fast-paced environment.
  • Processes registration applications, class additions and/or withdrawals; provides enrollment information; notifies students of deadlines.
  • Processes enrollment verifications and evaluates documentation for appropriate release of authorization.
  • Applies federal, state, local and institutional laws and regulations; ensures FERPA compliance.
  • Provides computer navigation support; creates and updates student records in Jenzabar; verifies duplicate records; updates addresses, residency, programs and majors.
  • Responds to requests and refers students to resources including Advising, Counseling, International Admissions, Orientation, Financial Aid and Testing.
  • Performs office support duties including scanning documents, processing mail, maintaining publications and supplies.
  • Assists faculty and administrators with database functions including waitlists and grade changes.
  • Processes official and unofficial transcript requests.
  • Performs other related duties as assigned.

Required Duties

  • Disseminate financial aid and admissions information via orientation sessions, phone, email and outreach events.
  • Answer telephone, email and written inquiries; perform reception and clerical assistance.
  • Assist with coordination of student financial aid including Title IV and state aid programs.
  • Review and process incoming student documents for accuracy and completion.
  • Enter data; scan documents; create and maintain student files.
  • Assist in screening financial aid and admissions applicants including online and paper processes.
  • Assist in intake and scanning of confidential data for state and federal reporting.

Minimum Qualifications

High school diploma or equivalent supplemented with college-level coursework in business technology or related field. Six months of relevant experience may substitute for coursework. Two years of office support experience or one year in a student services environment with significant public contact required. Bachelor's degree preferred.
