Total Office Support
- Administrative Support
- Answer and direct phone calls, taking messages when necessary.
- Greet and assist visitors, ensuring a positive and professional first impression.
- Handle incoming and outgoing mail, emails, and faxes.
- Manage visitor access.
- Daily copy, scan and print as needed.
- Manage daily staff meals Ordering, Setup and keeping track of budgeting.
- Provide administrative support to internal and field colleagues as needed.
- Scheduling and Calendar Management
- Schedule appointments, meetings, and conference rooms using Microsoft Outlook and Teams.
- Meeting Support
- Assist in the preparation of meeting rooms, including arranging equipment and materials.
- Daily copy, scan and print as needed for meetings.
- Documentation and Record-Keeping
- Create, modify, and maintain documents using Microsoft suite.
- Organize and maintain electronic and paper filing systems such as SharePoint.
- Process day-to-day vendor invoices timely.
- Maintain inventory of office supplies and coordinate reordering when necessary.
- Manage all office maintenance to include, submitting work orders and scheduling repairs for general office space and equipment.
- Ordering repairs for office equipment and maintenance, connecting with and escorting vendors.
- Manage overall appearance of office and meeting room furniture.
- Light lifting and movement of shipping boxes, packages, office desks/chairs, and rolling furniture for meeting and training room setups (up to 15 lbs.)
- Support special event projects and other event-related duties as assigned.
- Liaise with vendors, catering partners, and internal stakeholders to confirm event details and ensure timely, high-quality delivery of services.
- Prepare, receive, and stage catering orders; manage food and beverage setup, replenishment, and ensure the space is reset to standard after events to maintain a professional environment.
- Coordinate event logistics including room setup, décor, supplies, and any Audio-Visual requirements in partnership with the IT team.
- Assist with onsite event planning and execution for meetings, trainings, celebrations, and other corporate gatherings at the home office.
- Provide offsite event support including, but not limited to, printing and shipping meeting materials, coordinating shipment logistics, ordering meeting supplies, and assisting with event preparation and execution.
- Special Projects as assigned
- Create and maintain all documented office procedures.
- Complete and stay current on all appropriate compliance requirements.
- Adhere to all policies and procedures as outlined in the employee handbook.
- Must track and maintain work hours daily in the ADP system along with adhering to legal non-exempt requirements for non-exempt hourly workers
Qualifications And Skills
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to handle multiple tasks and prioritize effectively.
