Phamatech is seeking an Operations Manager who will be responsible for overseeing all specimen collection operations, ensuring compliance with company policies, client requirements, federal and state regulations, and industry standards. This position provides leadership, training, quality assurance, and operational support to collection personnel while maintaining the integrity of the specimen collection process and chain of custody procedures.
Essential Duties and Responsibilities
- Manage daily specimen collection operations across multiple collection sites.
- Ensure compliance with all applicable regulations, including DOT, SAMHSA, HIPAA, OSHA, and company policies.
- Supervise, train, evaluate, and support collection staff and site coordinators.
- Develop and implement standard operating procedures to improve efficiency, quality, and compliance.
- Monitor specimen collection activities to ensure proper chain of custody and specimen integrity.
- Conduct quality assurance reviews, audits, and corrective action plans when necessary.
- Investigate collection-related incidents, donor complaints, and documentation discrepancies.
- Serve as the primary liaison between collection sites, laboratories, clients, courts, probation departments, and other stakeholders.
- Oversee scheduling, staffing, and coverage for collection facilities.
- Monitor inventory levels and coordinate the ordering of collection supplies and equipment.
- Review collection documentation, including Chain of Custody Forms (CCFs), non-federal forms, and incident reports.
- Ensure timely shipment and tracking of specimens to the laboratory.
- Assist with escalated donor issues and difficult collection situations.
- Prepare operational reports, performance metrics, and compliance documentation.
- Support implementation of new programs, policies, and client requirements.
- Maintain confidentiality of all donor and client information.
Leadership Responsibilities
- Provide guidance, coaching, and performance management for collection personnel.
- Conduct new employee onboarding, certification, and ongoing training.
- Promote professionalism, accountability, and excellent customer service.
- Ensure staff competency in urine, oral fluid, hair, DNA, and other specimen collection procedures.
Qualifications
- High school diploma or equivalent required; college degree preferred.
- Minimum of 3 years of specimen collection, laboratory, or healthcare operations experience.
- Previous supervisory or management experience preferred.
- Strong knowledge of chain of custody procedures and specimen collection protocols.
- Familiarity with DOT regulations, SAMHSA guidelines, HIPAA, and OSHA requirements.
- Excellent communication, organizational, and problem-solving skills.
- Ability to manage multiple locations and priorities in a fast-paced environment.
- Proficient in Microsoft Office and laboratory information systems.
