Our Nashville, TN studio is seeking a friendly and high functioning office assistant. Office assistant position will work closely with the Workplace Coordinator while interacting with team members at all levels. Office assistant position serves as the face of the organization to team members, visitors, and clients both in person and by phone; therefore, must be a poised, polished professional that functions with a high level of integrity, confidentiality, and excellence. Office assistant position assists with daily office functions to ensure efficiency while meeting Pfeffer Torode standards. Office assistant position also supports various other HR and administrative functions, as needed. This position is an in-office based (full-time or part-time) position.
Qualifications
- Proven experience in high paced, high-volume office assistant or similar position
- Customer service experience a plus
- High school diploma or equivalent preferred
- Strong written and verbal communication skills
- Extremely organized, detail-oriented
- Strong multi-tasking skills
- Excellent interpersonal skills and ability to collaborate well in a team
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat
- Willingness to learn software applications and office equipment as needed
- Polished, business professional
- Consideration for either full or part-time
Responsibilities
- Maintain order and cleanliness of conference rooms, supply rooms, work areas and kitchen
- Receive, welcome, and guide visitors, clients, and team members
- Assist with answering and re-directing incoming calls and/or emails
- Manage and distribute parcel deliveries
- Handle basic troubleshooting for office equipment and coordinate repairs as needed
- Perform office tasks and errands as needed
- Coordinate the use and manage calendars of meeting rooms
- Assist with the ordering, receiving, stocking, and replenishment of office and kitchen supplies
- Assist with the planning, scheduling and execution of events and celebrations
- Assist with office maintenance and janitorial vendors
- Build relationships and assist peers and other stakeholders (internal and external)
- Assist with special projects
- Assist with booking principals’ travel
- Assist with gathering and organizing principals’ business time and expenses
- Maintain discretion and confidentiality surrounding assigned projects and client information
- Coordinate vendor lunch and learns, product updates and happy hours
- Assist with printing, plotting and binding presentations
Compensation
This is a full-time position; salary will be commensurate with experience and skill level.
