About the Opportunity:
We are looking for someone who has a strong prior experience in admin-related tasks and is interested in learning and performing a variety of payroll and HR tasks. The ideal candidate will thrive in a fast-paced environment, be detail-oriented and organized, be able to effectively juggle tasks, be experienced, motivated, well-organized, detail-oriented, and self-directed, and will enjoy helping the team.
This position will be located on-site at our Santa Rosa location. This position is regular full-time, hourly, non-exempt and reports to the Director of Compliance.
Salary Range: starting at $30/hour.
Under general supervision will be responsible for processing bi-weekly payroll for multiple company entities for two locations. Will also provide administrative support to the HR Department with employee files, processing new hires, HRIS, and other projects.
KEY RESPONSIBILITIES:
Payroll
- Responsible for the payroll entry of multiple company entities (processes bi-weekly, and special payrolls). Ensures accuracy of payroll runs.
- Processes payroll within Vensure System, including bi-weekly timecard review and payroll data entry.
- Works closely with the accounting team to provide necessary payroll information.
- Resolves employee’s questions about their paycheck.
- Resolves employee paycheck, punch in/out, & PTO/Sick/Vacation questions.
- File monthly Workers Compensation reports and help with quarterly and yearly audits
- Assist administrator with annual payroll and other audits. (worker’s compensation, Retirement Savings).
- Responds promptly to all employment verification requests, wage garnishments, and EDD claims.
Human Resource Support
- Manages all HR records, including personnel, benefits, payroll, and other employment files, I-9 forms, job descriptions, etc., in accordance with all legal requirements and company policies and procedures.
- Assists employees with payroll questions, routing requests to other team members as applicable.
- Processing of new hire paperwork for both full-time and seasonal staff
- Assist with policy creation/maintenance and implementation
- Manage all records for retention and destruction based on legally required time constraints.
- Orders and maintains supplies, including legally required pamphlets and postings.
- Ensure all required legal postings on company bulletin boards are current and compliant.
- On-board and train new employees
- Coordinate events focused on employee recognition and company special events
- Provides prompt response to work-related injuries and ensures compliance with all company and regulatory guidelines working with Risk Management
- Acts as a liaison with all parties, communicating with injured workers and providing follow-up to the manager, HR department, and insurance carrier
- Administer benefits plan in coordination with Benefits provider
- Provides support to the team as needed and directed by Supervisors
- Maintains strict confidentiality
- Provide project support for any company team as assigned.
Requirements
QUALIFYING SKILLS:
Bachelor’s degree or equivalent combination of education and experience.
- Minimum of 2 years of experience with a payroll system and payroll processing in CA.
- Experience with Ag Code and/or Agricultural entity payroll a plus. Experience with payroll involving bonuses a plus.
- Multi-entity payroll experience is highly desired.
- Acute attention to detail and a high degree of accuracy.
- Strong organizational skills, excellent attention to detail, and problem-solving/analytical skills; able to manage projects, priorities, and workflow.
- Experience with the multifaceted operations of a small business.
- Ability to work efficiently, and self-directed and maintain confidentiality.
- Professional communication skills; excellent written and verbal communication skills.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues. The highest degree of integrity and honesty.
- Must be proficient in MS Office and Google Workspace.
- Ability to work with diverse groups of people; ability to deal with conflict.
- Ability to prioritize and multitask; deadline and detail-oriented with good judgment and the ability to make timely and sound decisions.
- Ability to build rapport with all employees.
- Willingness to pitch in to help others when needed.
- Bilingual (English/Spanish) desired, but not required.
- Clean CA DMV record.
- Must be 21 years old.
- Background check required.

PHYSICAL/MENTAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to do the following:
- Constant exposure to fine particulate cannabis plant material as airborne particles.
- Must be able to remain in a stationary position 50% of the time; occasional stooping.
- Sit for prolonged periods.
- Regularly ascends/descends stairs to the office area.
- Coordinate multiple tasks simultaneously with accuracy.
- Collect, interpret, and/or analyze complex data and information.
- Understand and respond to a diverse population.
- Perform repetitive motion activities.
- Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
- The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- The ability to observe details at close range (within a few feet of the observer) and fine print documents or presentation screens.
- Frequently moves boxes weighing up to 20 pounds across the office for various needs.
- Occasionally moves boxes or equipment up to 50 pounds.
WORK ENVIRONMENT:
- Active open space office layout and atmosphere. Requires the ability to work undistracted.
- May be subject to the noises, cold, and odors of a functioning processing warehouse and/or farm.
- May spend time in cold areas and noisy processing areas moving to the office area.
- Occasionally drive to multiple locations to conduct new hire paperwork and attend meetings/educational courses.
