Adoptions & Client Services Assistant

Position Summary
The Front Desk & Client Services Associate is the welcoming face and calm center of our shelter. This entry-level role is ideal for someone who loves people, cares deeply about animals, and thrives in an organized, fast-paced environment. You will assist the public in person and by phone, support adoptions and intakes, and help keep daily operations running smoothly.
Key Responsibilities
- Greet visitors, adopters, volunteers, and community members with warmth and professionalism
- Answer phones, emails, and general inquiries
- Assist with adoption paperwork, intake forms, and basic data entry
- Schedule appointments and maintain accurate records
- Handle basic transactions and receipts
- Maintain an organized, clean, and welcoming front desk area
- Work closely with staff and volunteers to support daily shelter operations
- Provide compassionate customer service in emotional or high-stress situations
- Other duties as assigned
Qualifications
- High school diploma or equivalent
- Strong customer service and communication skills
- Basic computer skills (email, data entry, scheduling software, Microsoft office)
- Organized, dependable, and detail-oriented
- Ability to multitask and remain calm in a busy environment
- Genuine interest in animal welfare (prior shelter experience not required)
Preferred
- Experience in customer service, reception, or nonprofit work
- Familiarity with basic office equipment
- Comfort interacting with animals in a shelter setting
Physical
- Ability to sit, stand, and move throughout the day
- Willingness to work around animals, noise, and occasional strong odors
- Emotional resilience when dealing with sensitive situations involving animals and owners
