Vessel Shop- Coordinator

Job description:

The Vessel Shop Coordinator provides administrative and coordination support for vessel fabrication operations. This role is responsible for tracking production progress, maintaining accurate documentation, monitoring material and component status, and supporting shop leadership with data entry and reporting. The position requires strong computer and organizational skills and includes regular interaction with the shop floor to ensure vessel schedules, documentation, and production data remain current and accurate.

Essential Duties and Responsibilities

Production Tracking & Scheduling:

• Update and maintain vessel progress sheets, ensuring schedules align with planned and committed dates.
• Track production status and verify completion milestones for vessels and sub-assemblies.
• Perform labor hour and production data entry after validation by the lead, supervisor, or manager, until floor scanning systems are fully implemented.

Documentation & Data Management:

• Collect vessel data upon completion and scan, organize, and chart records as required.
• Print, assemble, and organize vessel data packages including drawings, progress sheets, inspection records, and QC travelers.
• Print and maintain labels for jobs, saw lists, and sub-assembly parts.
• Ensure vessel documentation is complete, accurate, and readily accessible for production and quality teams.

Materials & Shortage Tracking:

• Monitor and track vessel material shortages and communicate issues to shop leadership.
• Track vessel nozzle kit shortages and follow up until materials are delivered and signed off.
• Coordinate with Materials and Inventory teams to resolve delays or discrepancies impacting vessel schedules.

Shop Coordination & Communication:

• Serve as an administrative point of contact between the vessel shop, quality, fabrication, and materials teams.
• Spend time on the shop floor as needed to gather information, verify status, and distribute paperwork.
• Support daily or weekly production meetings with reports and updates.

General Administrative Support:

• Utilize ERP systems, spreadsheets, and office software (Word, Excel, PowerPoint) to support vessel shop operations.
• Maintain organized electronic and physical records.
• Perform other administrative and coordination duties as assigned to support vessel shop operations.

Qualifications

• High school diploma or GED required.
• Strong computer skills required (ERP systems, Excel, Word, scanning and document control).
• Prior experience in manufacturing, fabrication, or shop administration preferred.
• Experience in vessel or ASME fabrication is a plus but not required.
• Strong organizational skills, attention to detail, and ability to manage multiple priorities.
