About the Job :

Petite Smiles is a brand new, state-of-the-art, private, pediatric dental office, and is currently seeking a full-time patient care coordinator to join our dynamic team.

Our practice is quality-focused and team-orientated. We are looking for an individual that will grow with us and treat the office as their own. We offer a friendly, caring work atmosphere, competitive pay, on-site free parking, and no late hours or weekends.

Pay range : Commensurate with experience.

Hours :

  • Mon 7 : 30am - 4 : 30pm.
  • Tue 8 : 00 am - 4 : 00 pm.
  • Wed 7 : 30am - 4 : 30 pm.
  • Thu 8 : 00 am - 4 : 00 pm.
  • Fri 7 : 30 am - 2 : 30 pm.

Under direct and indirect supervision, the patient care coordinator will answer inquiries and obtain information for general public, patients, visitors, and other interested parties. This individual will handle all administrative functions that relate to patient care from answering phone calls and scheduling appointments to verifying insurance eligibility and collecting payments. The patient care coordinator will also be responsible for internal accounting duties that support the practice’s goals for profitability as well as maintaining appropriate A / R ratio and A / R breakdown according to the Annual Plan goals for the practice.

  • Have experience preparing, presenting, and scheduling patient treatment plans and financial arrangements.
  • Read and follow exam notes and directions from clinicians.
  • Collect payments from patients and insurance companies.
  • Ensure office compliance in the areas of collection procedures and practices.
  • Are comfortable filing insurance claims and submitting e-claims and paper claims when necessary.
  • Prepare and submit weekly / monthly reports, as directed.
  • Adhere to all applicable laws, including the Fair Credit Reporting Act (FCRA) and the Health Insurance Portability and Accountability Act (HIPAA).
  • Demonstrate a commitment to ongoing professional development.
  • Prioritize patient rapport and outstanding customer service.
  • Show a strong respect for all of your coworkers, regardless of position.
  • Operate telephone switchboard to answer, screen and forward calls, provide information, take messages, and schedule appointments.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
  • Learn to operate new office technologies as they are developed and implemented.
  • Memorize and use scripts effectively both over the phone and in person.
  • File and maintain records.
  • Collect, sort, distribute and prepare mail, messages and courier deliveries.
  • Input data into computer with minimal errors.
  • Provide information about the Practice, such as location of offices, employees within the organization, or services provided.
  • Transmit information or documents to patients using computer, mail, or facsimile machine.
  • Must always represent the practice in a professional, pleasant, and cooperative manner.
  • Reliable and punctual with regular attendance and adherence to assigned work.
  • Must be able to comfortably and efficiently handle multiple deadlines and task assignments.
  • Must be able to work both independently and cooperatively in team settings.
  • Occasionally there may be some travel, by car or plane, required in order to participate in continuing education or seminars.
  • Must be flexible and understand that job duties may change from time to time and that this individual may be asked to assist in other areas of the office.
  • Other duties and tasks, as assigned periodically.

  • 1 year financial experience in a medical or dental setting is required.
  • Honesty and integrity in financial practices.
  • Strong organizational and administrative skills - you see what needs to be done and do it.
  • Ability to multi-task, take initiative and anticipate needs of others.
  • Ability to project a positive, warm and professional image in person and on the phone.
