The Role:

The Procurement Coordinator supports purchasing, inventory, and vendor management operations by coordinating material sourcing, supplier relationships, inventory levels, and procurement administration. This role works closely with the Procurement Manager, inventory team, warehouse operations, and accounting to ensure timely and accurate purchasing, receipt, reconciliation, and warranty management of materials and equipment.

The Procurement Coordinator plays a critical role in maintaining operational efficiency, controlling costs, protecting company assets, and ensuring procurement processes are executed accurately and consistently. This individual must be highly organized, detail oriented, and capable of thriving in a fast paced environment while collaborating across multiple departments.

 

Responsibilities:

  • Review and process purchasing requests for non job related materials, coordinating with suppliers to identify the best options to meet internal needs
  • Collaborate with the Procurement Manager to ensure job related supplies and materials are purchased from approved and appropriate suppliers
  • Work closely with the inventory team to maintain proper stocking levels of parts and supplies, placing restock orders as needed
  • Track and manage minimum and maximum inventory levels in partnership with the inventory team
  • Coordinate deliveries with the Warehouse Manager to ensure timely and accurate receipt of materials
  • Monitor the receipt of materials and maintain accurate organization of packing slips, invoices, receipts, and procurement documentation
  • Review and reconcile incoming invoices against purchase orders and receipts to verify pricing, quantities, and vendor terms
  • Respond to and resolve accounts payable inquiries related to invoice discrepancies and procurement related issues
  • Identify, document, and assist in resolving procurement related errors and discrepancies while helping track issues through resolution
  • Support the Procurement Manager with bid requests, vendor evaluations, pricing comparisons, and supplier relationship management
  • Build and maintain strong working relationships with high volume vendors and suppliers
  • Research new product offerings and present recommendations to the Procurement Manager
  • Inspect and evaluate damaged materials and coordinate returns, credits, replacements, and warranty claims with suppliers
  • Accurately register warranties for purchased equipment, materials, and products to ensure proper coverage and documentation
  • Monitor warranty statuses and coordinate claims for eligible repairs or replacements while maintaining organized records of all warranty activity
  • Provide backup support to the parts and inventory teams as needed
  • Assist the Procurement Manager with special projects and additional responsibilities as assigned
  • Other duties as assigned

Additional Requirements:

  • Understanding of inventory control and supply chain principles
  • Prior experience in procurement, purchasing, inventory control, accounts payable, supply chain, or administrative operations preferred
  • Strong attention to detail with a high degree of accuracy in data entry, document review, and reconciliation
  • Proficiency with ERP systems, Microsoft Office Suite, and other digital tools
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to think critically and creatively problem solve
  • Positive attitude, adaptability, and a strong team oriented mindset
  • Ability to thrive in a fast paced environment
  • Ability to collaborate cross functionally with internal teams and external vendors

Physical Qualifications:

  • Ability to sit for extended periods of time while working at a desk or computer
  • Ability to view a computer screen for prolonged periods and read printed and electronic documents
  • Frequent standing, walking, bending, and reaching
  • Ability to lift and move supplies and materials weighing up to 50 pounds
  • Ability to communicate effectively in person, by phone, and via electronic means
