Duties
- Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, presentations, and correspondence
- Assist with calendar management and scheduling appointments or meetings for staff members or executives
- Support office management tasks such as supply inventory, order processing via QuickBooks or other bookkeeping software, and general administrative support
- Provide excellent customer service by addressing inquiries promptly and supporting client or patient interactions in healthcare or dental office settings if applicable
Experience
- Proven experience in office administration or clerical roles with a strong background in office management and customer support
- Demonstrated proficiency with computer literacy including Microsoft Office programs, Google Workspace, data entry, and filing systems
- Prior experience handling multi-line phone systems and practicing professional phone etiquette
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Experience working in medical or dental reception environments is a plus, along with personal assistant responsibilities or medical receptionist background
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively
- Knowledge of bookkeeping software such as QuickBooks or similar platforms is advantageous
