Duties
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Handle appointment scheduling, calendar management, and coordinate meetings using Google Workspace or Microsoft Office tools
- Perform general clerical duties such as photocopying, faxing, scanning, and managing incoming/outgoing mail
- Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and maintaining office cleanliness
- Assist with special projects like proofing correspondence or preparing reports to support team operations
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with office management systems and data entry procedures to ensure accuracy and efficiency
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly valued to serve diverse clients and team members effectively
- Knowledge of QuickBooks for basic bookkeeping tasks such as invoicing or expense tracking
