What are the responsibilities and job description for the Veterinary Receptionist position at Pet Specialists of Hawaii?

What you’ll do:
- Use your excellent organizational skills. You are able to simultaneously smile and greet clients as they walk in the door, answer the telephone with an unfeigned desire to help the person on the other end, document the conversation you just had with the last person on the phone, and find time for all the other tasks you had set for yourself that day. You manage to do this with humor and compassion.
- Communicate with our clients in a confident, helpful and honest manner. You engage with the client and are able to listen to their needs and concerns. You genuinely want their interactions with us to be positive. You are proactive in making any follow-up phone calls or emails.
- Communicate with our referring veterinary colleagues in a clear, timely, and knowledgeable manner. You navigate the systems and preferences of each referring hospital and make requests for and provide them with the necessary information to ensure that they remain an integral part of the patient’s healthcare team.
- Manage the patient scheduling. You triage and recognize more urgent scheduling needs and route appointments in the most time efficient manner. You communicate with the veterinary technical staff and veterinarian and highlight any details regarding the patient or client that you feel are important.
- Create and maintain the patient’s medical records in a clear, accurate and consistent manner.
- You review medical records from referring hospitals and can sort through the electronic communication to recognize a piece of information or documentation that is missing and make sure it is requested and available in time for the patient visit.
- Accept payments over the phone and in person. You understand the invoice line-items and can communicate the details to the client. You coordinate with the client, insurance and care credit providers
- Maintain a clean, welcoming reception and waiting area. You pay attention to the clients’ and patients’ well-being and ensure that any needs are addressed.
