ROLE OVERVIEW:
The Executive Assistant/Office Administrator will facilitate and coordinate office activities and operations while providing clerical and administrative support to the executive team.
Duties/Responsibilities:
- Welcomes and directs visitors and clients.
- Manage professional scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics.
- Responds to and resolves administrative inquiries and questions.
- Prepares and coordinates agendas, makes travel arrangements, maintains calendars and coordinates and schedules meetings, and appointments for senior management.
- Maintains office supplies and coordinates maintenance of office equipment and facility.
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
- Retrieves information as requested from records, email, minutes, and other related documents and prepares written summaries of data when needed.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Minimum of 3 years of administrative assistant experience.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong supervisory and leadership skills.
- Ability to function well in a high-paced and at times stressful environment.
- Well versed with Microsoft Office Suite or related software.
- Ability to maintain confidentiality of information related to the company and its employees.
Education and Experience:
- Associate degree in office administration or related field preferred.
- At least three years of administrative and clerical experience required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
