Position Summary

The Executive Administrative Officer provides high-level administrative, organizational, and operational support to executive leadership while helping ensure the effective delivery of services to individuals with Intellectual and Developmental Disabilities (IDD).

This position serves as a key administrative partner to leadership and requires a strong understanding of IDD services, regulatory expectations, organizational operations, and professional communication. The Executive Administrative Officer will coordinate administrative functions, monitor organizational priorities, assist with compliance and documentation, and support leadership in achieving strategic and operational goals.

The ideal candidate is highly organized, detail-oriented, professional, proactive, and comfortable managing multiple priorities in a fast-paced healthcare and human services environment.

Essential Responsibilities:

Executive & Administrative Support

  • Provide administrative support to executive leadership and senior management.
  • Coordinate meetings, calendars, agendas, correspondence, and follow-up activities.
  • Prepare reports, presentations, spreadsheets, meeting materials, and other executive documents.
  • Maintain confidential organizational and personnel information.
  • Track assigned projects, deadlines, action items, and organizational priorities.
  • Assist leadership with special projects and initiatives as assigned.
  • Coordinate communication between executive leadership, management, employees, and external partners.
  • Draft and distribute professional correspondence, announcements, and organizational communications.

IDD Services & Operations

  • Develop and maintain a working knowledge of services provided to individuals with IDD.
  • Assist leadership with operational initiatives related to Community Homes and other IDD programs.
  • Support communication and coordination between administrative, clinical, residential, behavioral, medical, and quality departments.
  • Assist with monitoring organizational processes to promote consistent service delivery.
  • Participate in meetings and projects related to individuals receiving services and organizational operations.
  • Assist with identifying operational concerns and communicating recommendations to leadership.
  • Support initiatives designed to improve employee engagement, service quality, and individual outcomes.

Compliance & Quality Support

  • Assist leadership in maintaining compliance with applicable Pennsylvania regulations, licensing requirements, and organizational policies.
  • Support preparation for regulatory reviews, audits, inspections, and internal quality initiatives.
  • Assist with organizing and maintaining compliance-related documentation.
  • Track completion of required administrative and operational tasks.
  • Assist with reviewing documentation for completeness and accuracy.
  • Maintain a strong understanding of confidentiality requirements and applicable privacy standards.

Required Qualifications

  • Bachelor's degree required in Business Administration, Healthcare Administration, Human Services, Public Administration, or a related field.
  • Minimum of two (2) years of professional experience working with the Intellectual and Developmental Disabilities (IDD) population required.
  • Experience in healthcare, human services, residential services, or a related field preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills.
  • Ability to maintain confidentiality and exercise sound professional judgment.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work independently while also collaborating effectively with leadership and interdisciplinary teams.
