Key Responsibilities
The Self-Direction Payroll Assistant is responsible for ensuring the accurate and timely processing of payroll for Self-Hired Staff participating in the Self-Direction program. This role supports compliance with program guidelines, state regulations, and internal policies while maintaining the highest standards of confidentiality and professionalism.
The Payroll Assistant collaborates with people we support, their Circle of Support, Self-Hired Staff, and internal departments to process payroll, verify documentation, and resolve payroll-related issues efficiently and considerately

Payroll Processing
-
Review and validate Self-Hired Staff shifts worked to ensure compliance with Self-Direction program guidelines and submission deadlines. Coordinate with support team members as necessary to address discrepancies and ensure timely follow-up

Ensure all payroll entries are accurate, complete, and supported by proper documentation (e.g., hours worked, service notes, no gaps in service).

Collaborate with HR, Finance, Fiscal Intermediary Coordinators, and Program Managers to ensure all Self-Hired Staff documentation is received and up to date prior to processing payments.

Respond promptly and courteously to inquiries regarding pay periods, deductions, tax forms, and payment status.

Support year end inquiries including assistance with W-2 and 1099

Maintain strict confidentiality of all payroll and personal information.

Identify, report, and assist in resolving payroll irregularities or compliance issues.

Collaborate with support team to monitor, manage, and control overtime usage, ensuring alignment with budgetary constraints, staffing needs, and organizational policies

Reporting and Resolution

Support incident reporting and follow-up activities in alignment with OPWDD standards and agency procedures.

Escalate complex payroll or compliance issues to the Self-Direction Payroll Coordinator as needed.

Work collaboratively with the Circle of Support Team (including people supported, Self-Hired Staff, and Support Broker) to correct payroll or documentation errors.

Compliance

Ensure payroll and supporting documentation for Self-Hired Staff are compliant with OPWDD regulations, Medicaid guidelines, and PCCS agency policies. Conduct regular audits of Paycom and eVero systems to verify accuracy and regulatory adherence

Monitor staff and administrative processes to ensure proper service documentation and adherence to established procedures.

Participate in internal and external audits, assisting in the correction of any identified compliance issues.

Advocate for the needs and rights of people supported, ensuring they receive appropriate services and supports.

Assist people supported and families in identifying additional resources or services as needed.

- Age Requirement: Minimum age of 18.
- Educational Requirements High School Diploma or GED required
- Associate’s degree in business administration, Accounting, Human Services, or related field preferred
- Required Experience
- Minimum 1 year of experience in payroll, bookkeeping, or administrative support
- Preferred Experience
- Prior experience in a Self-Direction, Medicaid-funded, or home care environment strongly preferred
- Familiarity with payroll systems (e.g., eVero, Paycom) is an asset
- Knowledge of state labor laws, wage and hour rules, and Medicaid Self-Direction guidelines is a plus
- Experience in payroll processing or a related finance role with a focus on accuracy, confidentiality, and adherence to agency and legal standards.

Salary : $40,940 - $60,940
