Position Description:
Our client is seeking an experienced Real Estate Legal Secretary to provide advanced administrative support for real estate transactions. This role involves drafting, editing, and organizing complex legal documents, coordinating closings, and maintaining strong communication with attorneys, paralegals, and clients. The ideal candidate will be detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
- Draft and edit a variety of documents, including letters, memoranda, transactional agreements, leases, and regulatory filings.
- Prepare and organize closing documents for binders and e-binders.
- Maintain attorney calendars and coordinate travel arrangements.
- Organize and schedule in-person and electronic meetings and conferences.
- Process incoming mail, enter attorney time, and prepare expense reports.
- Provide administrative and overflow support to secretarial colleagues.
- Assume responsibility for special projects as assigned.
- Proofread documents for accuracy and quality.
- Handle photocopying, mailing, and messenger/FedEx deliveries.
Required Qualifications
- Previous law firm experience required; Am Law 200, leading regional, or major boutique firm experience preferred.
- Minimum of two to four years of real estate experience in a law firm.
- High School diploma or equivalent required.
- Proficiency in Microsoft Office Suite and e-binder software.
- Ability to type at least 60 wpm and transcribe dictations.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent communication skills and discretion in handling confidential information.
- Willingness to work a hybrid schedule with at least three days in-office per week.
- Ability to work a 7-hour workday and occasional overtime as needed.
