Position Description:
Our client is seeking an experienced Litigation Secretary to provide high-level administrative support to attorneys and paralegals. This role involves preparing legal documents, managing complex filings, coordinating trial preparations, and maintaining confidentiality. The ideal candidate will have extensive knowledge of court procedures and protocols and the ability to work independently in a fast-paced environment. This position requires working three days per week in-office and follows a 7-hour workday schedule.
Responsibilities
- Draft correspondence and prepare shell pleadings with minimal supervision
- Maintain attorney calendars and coordinate travel arrangements
- Organize and schedule meetings and conferences
- Process incoming mail, enter attorney time, and prepare expense reports
- Monitor court appearance dates, pleadings, and filing requirements
- Proofread documents for accuracy and quality
- Handle e-filings and manage federal and state court procedures
- Provide administrative and overflow support to the litigation team
- Act as a team facilitator and assist with new procedures
- Manage photocopying, mailing, and messenger/FedEx deliveries
Required Qualifications
- Previous law firm experience required; Am Law 200, leading regional, or major boutique firm experience preferred
- Minimum of seven years of litigation experience in a law firm
- Expert-level knowledge of court protocols and filing requirements
- High school diploma or equivalent
- Proficiency in Microsoft Office Suite and e-filing systems
- Ability to type at least 60 wpm and transcribe dictations
- Strong organizational skills and attention to detail
- Ability to work independently and meet deadlines
- Excellent judgment and discretion in handling confidential matters
