Job Summary
Under the direction of the Account Manager, Account Executive & Executive Director, perform the duties listed below. This position requires proficiency in completing the listed administrative tasks as well as the ability to think critically to identify trends, identify anomalies in results of normal processes, resolve problems, and identify opportunities to improve service for Joint Insurance Fund and Insurance Commission clients.
Principal Responsibilities
- Coordinate the preparation of agendas by summarizing action items, obtaining reports from internal and external resources.
- Assist the Executive Director and/or Account Manager in preparing meeting agendas (which may also include minutes) and distribute to participants.
- Generate "Takeaways" and deliverables for next meeting.
- Manage Resolutions including updates, tracking, adding to agendas, collecting signatures and retaining them.
- Coordinate the distribution of vouchers and the gathering of signed affidavits to allow for the processing of bills list.
- Advertise public meetings, contract appointments and bid announcements in accordance with the Open Public Meetings Act.
- Attend JIF and Insurance Commission meetings, distribute materials, obtain signatures on documents, call roll and track votes.
- May serve as secretary for the JIFs and Insurance Commissions including attending meetings, reviewing and produce minutes.
- Manages and tracks Risk Management Information System (RMIS) approvals (review audit trail) and adjustments for the JIF and Insurance Commission.
- Maintain and update contact list.
- Coordinate the preparation of agendas by summarizing action items, obtaining reports from internal and external resources.
Principal Responsibilities May also include:
- Work with raw claims and underwriting data from access or Origami and generate trending and analytical reports at the direction of Account Managers and Claims Manager.
- Using excel, run allocated assessments by departments/towns.
- Review Multiple data fields used to Merge Policy Documents for 500 plus entities
- Download Training Records from Learning Management System to generate schedules certificates and reports.
Other Functions
- Make regulatory filings which includes but is not limited to contracts, agendas, financial reports, and minutes with the regulatory bodies.
- Schedule meetings with fund professionals and with fund commissioners on an as needed basis.
- Enter underwriting data, ensure it is accurate, and compare the data to prior years.
- Responsible for mailings for the department whether sporadic or regulatory in nature.
- Update client websites with agendas, minutes, resolutions and any other required items.
- Controls annual merging and distribution of Policy Documents.
- Issues Financial Disclosures Notices.
- Assist the Account Manager, Executive Director, and others on special projects that may arise.
- Interact with other fund professionals and clients while following the highest standards of professionalism.
Specialized Knowledge or Licenses
- Property and Casualty License (Insurance Commission Only).
- ARM, CISR, CIC, CPCU and other specialized designations preferred
Requirements
- Bachelor's degree or equivalent work experience
- Proficiency in Microsoft Office Products, Word, Excel and Power Point required.
- Self-starter, flexible and able to multi-task with minimal supervision.
- Strong problem solving, interpersonal, analytical, verbal and written communication skills.
- Must be detail oriented.
- Ability to develop and manage key relationships with all levels within the PERMA and Conner Strong & Buckelew organizations along with outside clients and fund professionals.
- Ability to work in a high-pressure organization/environment.
- Familiarity and experience with data base programs
- Authorized to work in the United States on a full-time basis without Company sponsorship.
Working Conditions
Office environment with moderate noise level; able to work flexible hours including evenings, and travel to other Conner Strong & Buckelew and PERMA offices and client work sites as needed.
Salary for this position ranges from $62,000.00 - $75,000.00. The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
Qualifying positions will also be eligible for comprehensive benefits, such as participation in family medical and dental insurance programs, 401K plan, and PTO.
