The position is situated in the Registration and Compliance department located in our Mesa, Arizona office. The position offers flexibility to work remotely up to 3 days a week, in accordance with firm policy and work requirements.
Job Summary
The Compliance Specialist (“CS”) provides direct service to clients and communicates with state regulatory agencies. The CS monitors the status of the client’s registrations to ensure regulatory compliance.
Essential Duties
Perform diverse administrative tasks and compliance & registration services to clients. Responsibilities include, but are not limited to:
- Act as the liaison between federal and state agencies and client to ensure compliance with all applicable regulations and laws;
- Establish, maintain, and manage accurate and up-to-date client documents, records and reports;
- Communicate with firm attorneys regarding client matters as they relate to registration and compliance requirements;
- Prepare, submit, and manage all required state forms necessary for client registration and regulatory compliance;
- Monitor state deadlines and filing for extensions as necessary;
- Review contracts and written disclosures for accuracy;
- Respond to client requests, inquiries and concerns;
- Communicate with state officials to clarify outstanding registration or compliance issues;
- Track and enter client expenses into billing software.
- Collaborate with other Compliance Team members to maximize efficiency, accuracy and optimal client service.
- Maintain a minimum workload of 800 state registrations.
- Demonstrate knowledge in all registration services for both non-profit and for-profit clients.
- Assists Compliance Department with projects as requested.
Minimum Requirements
- Any combination equivalent to: Associates or Bachelor’s degree; certification as paralegal or
- A minimum of 3 -4 years’ experience in an administrative role or executive office setting
- Proficient with Microsoft Office applications, including Word, Excel, and Outlook.
- Excellent writing and verbal communication skills;
- Strong organizational skills and attention to detail;
