Reporting to the Senior Vice President of Pharmacy Operations & Clinical Care, the Pharmacy Operations Manager is responsible for overseeing compliance with federal and state regulations, accreditation standards, and internal policies related to quality and pharmacy operations.
This position provides leadership and operational oversight for multiple lines of business within the pharmacy department. The Pharmacy Operations Manager is responsible for managing and developing pharmacy leads, supervisors, pharmacists, and staff-level employees while driving operational performance, regulatory compliance, and continuous improvement initiatives.
Working collaboratively with patients, healthcare providers, and internal teams, the Pharmacy Operations Manager supports the delivery of innovative pharmacy solutions that improve patient outcomes nationwide. This role also provides operational leadership in the absence of the Pharmacist in Charge or the SVP of Pharmacy Operations, ensuring continuity of service and operational excellence.

Key Responsibilities
- Oversee the pharmacist and pharmacy technicians to ensure compliance with all safety standards, operating procedures and production expectations. Manage and develop team culture to ensure patient safety and operational efficiencies.
- Oversee the pharmacy’s compliance and quality management program, in accordance with federal, state, and local regulations, including DEA, FDA, state Boards of Pharmacy, and URAC and ACHC accreditation standards.
- Oversee claim submissions and third-party reimbursement to ensure accurate documentation and reimbursement.
- Manage PBM, payer, and third-party audits by coordinating documentation, drafting responses, tracking findings, and ensuring timely resolution of identified issues.
- Manage procurement and sourcing of medications and supplies with considerations for profitability and cashflow, in accordance with supply contracts with vendors.
- Develop, review, approve, and update pharmacy policies, procedures, and clinical protocols to ensure alignment with regulatory, accreditation, and organizational requirements.
- Lead and document staff training and competency programs related to regulatory compliance, accreditation standards, and quality improvement initiatives.
- Conduct routine internal audits, risk assessments, and monitoring activities; identify trends, gaps, and areas of non-compliance and implement mitigation strategies.
- Investigate, document, and resolve compliance events, deviations, and incidents in accordance with established policies and reporting requirements.
- Serve as the primary point of contact for regulatory agencies, accrediting organizations, and external auditors.
- Ensure accurate, organized, and retrievable documentation of all compliance and quality activities, including audits, corrective actions, training records, and regulatory correspondence.
- Assist the SVP of Pharmacy Operations with reporting of KPI’s to third parties or Executive Management Team
- Monitor and support clinical escalations through the proprietary medication management platform
- Assist in development of patient education materials and overall experience within the platform
- Process prescription requests/orders efficiently while documenting interactions in CRM
- Build and maintain clinical management protocols
- Provide clinical counseling to patients regarding drug therapy and/or disease state
- Respond to all clinical inquiries from internal teams upon request
- Collaborate with front-end operations teams to meet patient, client, and fulfillment program needs

Minimum Knowledge, Skills and Abilities Required:

Qualifications:
● PharmD or BS Degree in Pharmacy
● Active pharmacy license in good standing in Pennsylvania
● Availability for weekday shifts, including occasional Saturdays and extended hours, as agreed upon
● Strong working knowledge of applicable federal and state pharmacy regulations
● Familiarity with accreditation standards (e.g., URAC, ACHC) is strongly preferred
● Proficiency in Microsoft Office and pharmacy management software systems
● Previous experience in clinical pharmacy, fulfillment operations, or regulatory compliance preferred
● Strong written and verbal communication skills
