Prosthetic and Orthotic Office Administrator
Performance Prosthetics & Orthotics
Join a Team Where Your Work Makes a Difference
Performance Prosthetics & Orthotics is seeking an experienced, highly organized Prosthetic and Orthotic Office Administrator to join our team.
We aren’t simply looking for someone to answer phones and schedule appointments. We are looking for a professional who understands that exceptional patient care begins long before the clinician enters the room.
Our administrative team plays a critical role in each patient’s experience—from the first phone call and insurance verification through authorization, scheduling, delivery, and follow-up. If you take pride in getting the details right, solving problems, helping patients, and keeping a busy medical office running smoothly, we would like to meet you.
What You’ll Do
As a Prosthetic and Orthotic Office Administrator, you will help coordinate the administrative side of patient care while working closely with our patients, clinicians, referral sources, insurance companies, and fellow team members.
Your responsibilities may include:
· Welcoming patients and creating a professional, compassionate experience from check-in through check-out
· Scheduling and coordinating patient appointments
· Creating and maintaining accurate electronic patient records
· Verifying insurance eligibility and benefits
· Obtaining insurance authorizations and tracking outstanding authorization requirements
· Reviewing incoming referrals, prescriptions, medical records, and other documentation for completeness
· Communicating with physician offices, referral sources, insurance carriers, and other healthcare professionals
· Collecting and posting patient payments and discussing financial responsibilities with patients
· Managing incoming telephone calls and responding appropriately to patient and referral-source inquiries
· Scanning, indexing, routing, and maintaining documentation within the electronic health record
· Coordinating closely with clinical staff to track patients and services currently in progress
· Following up on outstanding documentation, authorizations, and other items that could delay patient care
· Completing assigned administrative tasks accurately and within established timelines
Who We’re Looking For
The person who succeeds in this position is someone who notices when something isn’t right—and takes the initiative to help fix it.
You should be comfortable managing multiple priorities without losing attention to detail. You’ll interact with patients who may be navigating significant changes in their lives, so professionalism, patience, empathy, and excellent communication skills are essential.
We are especially interested in candidates who are:
· Highly organized and detail-oriented
· Dependable and accountable
· Comfortable taking ownership of their responsibilities
· Able to prioritize effectively in a busy medical environment
· Confident communicating professionally by telephone, email, and in person
· Comfortable working collaboratively with clinicians and administrative staff
· Resourceful when solving problems and following up on outstanding issues
· Able to build positive relationships with patients, coworkers, referral sources, and healthcare professionals
· Committed to providing exceptional customer service
Qualifications
Required:
· High school diploma or GED
· Strong computer and general office skills
· Professional written and verbal communication skills
· Ability to accurately manage detailed information and multiple priorities
Preferred:
· At least 1 year of medical office experience
· Experience with insurance verification and authorization
· Experience working with electronic health/medical record systems
· DME, Orthotics & Prosthetics, rehabilitation, or other specialty medical experience
· Working knowledge of Microsoft Word, Excel, email, and automated billing or practice-management systems
· Basic administrative accounting experience
· Typing proficiency of at least 40 words per minute
Candidates with strong medical office, insurance authorization, DME, or Orthotics & Prosthetics experience are strongly encouraged to apply.
